Duties and Responsibilities
CLLC is seeking a new team member to oversee campus matters relating to homestay and activities. In this role, you will provide timely and friendly support to your CLLC Ottawa administrative team, students, teachers and homestay providers.
Please note this is an approximately four month term contract position with the possibility of extension in the New Year.
Specific job tasks include, but are not limited to:
Homestay
Select host families for new students; ensure host availability, match criteria
Correspond regularly with hosts and students
Collaborate with host families and students to work through issues
Maintain rapport with families and continue to develop a local network of host families through a variety of marketing efforts (screening, personally interviewing potential host families, conducting visits and follow-up)
Assist with collecting payments owed by students as informed by finance
Arrange airport pickup and communicate with driver service regarding student arrivals
Perform other tasks that are in the area of knowledge and skills needed by the position
Organize orientation sessions for host families to educate them on cultural sensitivity, student needs, and expectations
Conduct student orientation sessions to explain homestay guidelines and local customs
Provide mediation services for disputes between host families and students
Maintain an up-to-date database of host families, including their availability, preferences, and past student matches
Track feedback from students and host families to improve future placements
Assist in emergencies - last-minute HS changes, health issues, or logistical problems
Regularly assess host family performance based on student feedback and provide constructive suggestions for improvement
Conduct follow-up surveys with students post-stay to evaluate their experience
Establish clear agreements outlining roles, responsibilities, and expectations for both host families and students
Work with Operations to ensure timely payment processing for host families
Monitor finances between students and host families, addressing any discrepancies
Regularly check in with students to ensure their comfort and satisfaction in the homestay environment
Offer guidance or resources for students facing homesickness or cultural adjustment challenges
Activities
Plan and organize monthly schedule
Create promotional calendar monthly
Facilitate and lead 3-4 activities per week (may involve transporting students to activities that cannot be reached by public transit)
Act as chaperone and be available to help students to participate safely in all activities
Encourage student participation in school activities and maintain a positive atmosphere in the school - encourage school spirit among students
Work with front desk to collect money for activities that require payment
Perform other assigned duties that are within the area of knowledge and skills required by the position
Document activities through photos and videos and share with marketing team (social media)
Event planning, organization, budgeting
Clear communication regarding upcoming activities through classroom circulation, student emails, and information shared at graduation
Educational Requirements
Undergraduate degree or college diploma
International experience is also considered an asset

Candidates must live in Ottawa or surrounding area
This is a 100% in-person position
