Job Summary



We are seeking an organized and detail-oriented

Hiring Assistant & Receptionist

to support our HR and Administrative teams. This full-time position will serve as the first point of contact at our office while also playing a key role in the recruitment process and administrative support functions. The ideal candidate is professional, efficient, and enjoys working in a fast-paced, team-oriented environment.

Key Responsibilities



Human Resources & Hiring Support



Post job openings on various job boards and platforms Screen applications, schedule interviews, and coordinate hiring timelines Conduct interviews, reference checks, and complete onboarding processes Maintain and update hiring documentation Use MS Office to prepare schedules, and hiring-related forms

Administrative & Reception Duties



Answer incoming calls and direct inquiries appropriately Greet and assist visitors, clients and staff at the front desk Perform general clerical duties including filing, data entry, and record keeping

Reporting Relationships



Reports to: Human Resources Coordinator & Executive Director Communicates with: Internal departments and locations

Work Environment & Conditions



Office-based, located in a busy, open workspace Frequent use of computers and office equipment Long periods of sitting; some lifting of supplies/materials may be required Travel to other office locations within the region

Qualifications & Skills



Required:



Post-secondary education (HR, Business Admin, or related field) 1+ year experience in hiring and administrative support roles Strong proficiency in MS Office (Word, Excel) Excellent written and verbal communication skills Exceptional attention to detail and accuracy Ability to manage multiple priorities and meet deadlines

Preferred:



Experience with Sage 50 or other accounting software Bachelor's degree in a related field
