Job Description

The Health Sciences Program Coordinator reports directly to the Manager, Rehabilitation Sciences (RS) and indirectly to the Manager, Dietetics. This position performs complex administrative duties which support NOSM University's Health Sciences programs in Northern Ontario, including the Rehabilitation Sciences (RS) and Dietetic Practicum Programs (DPP). Assisting the Unit Managers in coordination, planning, information management, communication, and project development and supporting the overall mandate of the Health Sciences programs and initiatives. This position acts as a program liaison for learners, university partners, clinical partners, internal team members, and other community partners. It also acts as a conduit for information flowing to, from, and within the Health Sciences programs. The position coordinates and supports RS program committees, subcommittees, and working groups; and at times, may represent the RS and DPP programs and/or the Health Sciences team in various activities as delegated.

Responsibilities

Tasks may include but are not limited to the following:


Maintains administrative workflow by following processes, coordinating tasks within the process, and continuing the workflow to completion. Resolves administrative problems by analyzing information; identifying and communicating solutions to stakeholders. Maintains rapport with learners, university partners, clinical partners and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations. Stores and updates NOSM U 's databases with relevant information. Provides information by answering questions and requests from stakeholders. Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs. Accomplishes unit and organization mission by creating accurate and comprehensive reports and communicating results back to stakeholders. Responsible for the administration and coordination of select program functions, including admission/recruitment, learner and preceptor support and development opportunities in collaboration with the Manager, Rehabilitation Sciences, the Manager Dietetics, the Commuity Relations Coordinator, and the Clinical Learning Liaisons. Working with the Manager RS, Manager Dietetics and the Communications and Advancement Teams, assists with HS program marketing activities, including preparing promotional materials, website updates, social media and supporting program information sessions. In collaboration with the program's university and clinical partners, the Manager, Rehabilitation Sciences, the Community Relations Coordinator and the Clinical Learning Liaisons assists in clinical placement coordination. In collaboration with the DPP's partners, the Manager, Dietetics, the Dietetic Practicum Lead, the Community Relations Coordinator, and the Registrar's Office assists in learner registration, dietetic placement coordination, orientation, and onboarding. Coordinates and facilitates faculty and preceptor education for the HS programs, including the Health Sciences Webinars and Health Sciences Preceptor Development Series. Collects and analyzes evaluation data, preparing relevant reports as required. Develops and disseminates internal/external communication. Provides accurate, timely reports as required to meet reporting requirements for Ministry funding. Represents the programs on various committees as delegated. Assists with coordinating the day-to-day activities of the support positions (e.g. Administrative Assistant, Clinical Learning Liaisons, etc) assigned to the programs. Assists in coordinating special events (i.e. conferences, job fairs, educational events) and providing communication related to core activities covering all Health Sciences programs. Ensures collection and distribution of expense claims and financial information from participants (learners and preceptors) in the Health Sciences programs. Advises, assists, and provides guidance to learners, suggesting policy or procedure changes, when necessary, to the Manager, Rehabilitation Sciences, the Manager, Dietetics or suggesting ways to increase organizational effectiveness through new initiatives. Ensures that process improvements are communicated to other relevant units within the university and HS team members. Performs other duties as assigned.

Education




A University Degree in a related discipline (Education, Healthcare, Business Administration) from a recognized institution with Canadian accreditation or a combination of education and experience is required.

Knowledge, Skills and Abilities




A minimum of three (3) years of related experience in coordination and/or administration of programs in an educational setting or in healthcare is required. The ability to communicate effectively and professionally, and to express oneself clearly both verbally and in writing, and ability to use a variety of media. Strong interpersonal and public speaking skills. An understanding of the health sciences education environment, and health education system, in Northern Ontario and Canada. An understanding of program specific policies and accreditation guidelines, with ability to use these to ensure all program initiatives and events meet the required standards. Experience in interpreting, explaining and applying policies and procedures. Familiarization with customer service best practices. Experience working with other software programs with formatting/utility capabilities and word processing (i.e. Microsoft Office Suite, Google Drive, Sharepoint, Mailchimp, WordPress) and with NOSM U's custom programs (i.e. Perceptive Content, PaNDa). Computer systems and software such as Windows, Databases, Internet and E-mail. Proven experience in coordinating various tasks under tight deadlines. An understanding of Indigenous and Francophone communities and their needs as it relates to health professional education. Work within established organizational practices, protocols, and policies.

Language




Must be able to communicate effectively in English (verbally, written and comprehension) French/Indigenous language skills would be considered asset

Working Conditions




Extended periods of sitting. Interaction with employees, management, and external stakeholders. Working in a virtual and/or office environment with frequent interruptions. Morning and evening meetings, some weekend work during key periods (e.g. retreats, conferences, workshops). Occasional overtime and travel.
