Since 1974, we have been dedicated to supporting children, youth, and families by delivering compassionate, responsive mental health services.

At Keystone, we provide a full continuum of services, including counseling, prevention and well-being programs, short-term live-in treatment, crisis stabilization, youth justice services, and special needs programming. Our focus on coordinated access ensures that every child and youth aged 0-17 receives tailored, multi-disciplinary care to meet their unique needs.

Purpose and Scope:



Support the delivery of workshops and group education for Children, Youth and Families. This role is responsible for coordinating program logistics, supporting facilitators, and facilitating workshops, maintaining participant records, and ensuring smooth operations of group programming. The Educator/Promoter plays a key role in connecting families to educational, community and agency services while ensuring adherence to agency procedures, policies, and best practices

Key Accountabilities:



Community Needs and Outreach Support



Participate in gathering feedback on community needs and trends to support the ongoing development of group offerings. Ensure community and partners are informed of relevant programming schedules and updates. Assist in capacity-building efforts through supporting peer and partner training initiatives Gather insights and needs from participants and families to inform program planning.

Program Coordination and Scheduling



Organize and coordinate all logistical aspects of group sessions and workshops, including scheduling, booking spaces, preparing program materials, and communicating updates to participants and staff. Support the coordination of drop-in programming including scheduling, resourcing, and liaising with community partners as needed. Develop promotion material for educational events

Facilitator and Program Support



Provide support to facilitators by preparing session materials, confirming space readiness, and assisting with basic troubleshooting (e.g., AV equipment, materials, room set up). Collaborate with facilitators to ensure a smooth delivery of sessions, without assuming a supervisory role.

Participant and Community Engagement



Serve as the point of contact for families and participants throughout the program cycle. Share program details, respond to inquiries, and provide general support to enhance engagement and participation. Actively promote programs within the community and provide information to relevant teams for social media and public-facing content and engagement Ensure timely and clear communication related to scheduling and program logistics.

Administrative and Documentation Responsibilities



Maintain accurate records including registration, attendance, feedback, and session notes in accordance with agency standards. Ensure documentation aligns with privacy regulations and reporting requirements.

Data Collection and Evaluation Support



Assist in collecting participant feedback and tracking attendance and outcome measures for program evaluation. Support continuous improvement by compiling and sharing data with relevant teams.

Compliance and Accreditation Support



Maintain required documentation to support accreditation and quality assurance processes. Ensure that program operations comply with internal policies and external standards.

Supervision:



The supervision process will include elements of feedback, accountability, evaluation and training. Meetings occur at least monthly and more frequently as needed. Performance reviews and coaching The staff is expected to be prepared for these meetings and be an active participant in the process.

Other Duties:



The staff will be expected on occasion to become involved in activities not otherwise included in this job description. These activities include:

Staff meetings

Professional development

Travel to offsite meetings and training events

Requirements for the Role:



A diploma or degree in Early Childhood Education, Social Work, Child and Youth Care, or equivalent 2-3 years of experience in program coordination or administrative support within a mental health, education, or community services setting. Experience supporting group programs or working with children and families is considered an asset.

Location: Home Base Owen Sound with flexibility to travel as needed for workshops
