General Description:





Reporting to the Health Director, the Health Centre Receptionist is responsible for providing

professional administrative and clerical support to the Health Centre and its programs. The position ensures the smooth operation of the reception area by greeting and directing clients, managing incoming communications, scheduling appointments, maintaining accurate records, and supporting the coordination of health programs, including the Suboxone Program.





The Receptionist will maintain a courteous, confidential, and efficient working relationship with community members, health staff, and visitors while upholding the highest standards of professionalism and patient privacy.

Responsibilities:




Reception and Client Service




Greet visitors and clients in a professional and welcoming manner. Answer and direct incoming calls courteously and efficiently. Respond to general inquiries and direct clients to the appropriate staff or department. Register new clients according to established protocols and assist with required forms. Verify and update client information regularly. Maintain patient confidentiality in all communications and recordkeeping.




Program and Administrative Support




Provide administrative support to the Suboxone Program, including creating and organizing client charts, tracking referrals, and maintaining records. Support the coordination of health and development clinics (e.g., diabetes, dental, hearing, and footcare) by scheduling appointments and maintaining necessary documentation. Assist nursing staff in client case management by organizing clinic schedules and ensuring required forms and materials are available. Maintain an accurate attendance register for staff. Process incoming and outgoing mail and faxes. Order and maintain clinical and cleaning supplies as required. Support the Health Centre team by maintaining organized and efficient office systems.




Scheduling and Coordination




Schedule and confirm appointments for physicians, nurse practitioners, dentists, and dental hygienists. Ensure client flow and appointment scheduling are managed smoothly. Maintain up-to-date appointment lists and communicate schedule changes promptly.




Team Support




Collaborate with other administrative and health staff to ensure coordinated service delivery. Assist with reception coverage to maintain seamless front-office operations. Participate in ongoing training and professional development as required. Maintain flexibility to assist with additional tasks as directed by the Health Director.

Qualifications and Experience/Skills:




Medical Office Administration Certificate or equivalent education and experience. Minimum of one (1) year of experience in an administrative or medical office setting preferred. Proficient computer skills, including Microsoft Office and electronic record systems. Knowledge of medical terminology and familiarity with health service environments. Excellent communication, organizational, and interpersonal skills. Ability to remain calm and professional when managing difficult or stressful situations. Ability to work independently and collaboratively as part of a team. Current CPR, WHMIS, and Occupational Health and Safety (OHS) certifications. Satisfactory Criminal Record Check and Vulnerable Sector Check. Access to reliable transportation.
