. Provides administrative coordination, services and support to all employees on benefit related programs and initiatives including Pension, Health, Wellness, and Disability Management. Administers all related activities throughout the lifecycle of short-term and long-term disability and WorkSafe BC (WSBC) claims from submission to conclusion. Serves as the team's first point of contact on benefits, wellness and disability management related enquiries.
Duties & Responsibilities
KEY
ACCOUNTABILITIES
Supports disability case management by providing coordination of activities throughout the lifecycle of short-term disability (STD), long-term disability (LTD) and WorkSafe BC (WSBC) claims from submission to conclusion. Provides monitoring of claims activities and communicates with relevant internal partners and external agencies, as appropriate.
Establishes and maintains familiarity with each leave case and ensures collective agreement provisions and benefits contract terms are applied and appropriately followed up on and/or actions are taken.
Collaborates with the HR Service Centre and Payroll to ensure all appropriate payroll changes are processed for WSBC, STD, LTD, and rehabilitative return-to-work initiatives while employees are on STD, LTD and WSBC return-to-work programs.
Coordinates leaves, benefits and pension enrollment activities by providing comprehensive administrative support, including distributing relevant plan information and liaising with employees to answer questions and resolve issues.
Processes employee information such as benefit and pension enrollments, leaves, benefit and status changes. Reviews employee data and ensures appropriate application of policy or collective agreements. Compiles metric reports to track and maintain records.
Provides health and benefit information to employees and/or Managers regarding processes and implications of status changes; ensures proper documentation is received and processed accordingly.
Promotes wellness initiatives by developing communication and encouraging participation; creates the Annual Wellness Plan, setting up, advertising and organizing the virtual/in person wellness sessions. Provides technical and admin support with registration, attendance and troubleshooting.
Supports the team with ongoing administrative responsibilities tied to benefits and pensions, including tasks that follow monthly, weekly, and cyclical processing schedules. Participates in audits and prepares reports as needed to ensure compliance and accuracy.
Identifies entry errors and investigates root causes of administrative and/or calculation problems and take action to resolve.
Works with other members of the HR team and collaborates with them to support effective delivery of programs and services and to ensure others are alerted to emerging issues.
Engages with various teams, committees and initiatives, providing contextual information and administrative support including taking minutes, preparing and providing agendas, preparing reports and taking appropriate follow up actions as needed.
Participates in the maintenance and streamlining of administrative procedures to support operational improvements. Conducts research to support procedural improvements, making recommendations as appropriate.

REQUIREMENTS
Two years of post-secondary diploma in a related discipline.
Three years of related experience, including 1 year in a unionized environment.
Knowledge of the concepts, theories, practices and techniques of disability management, and return to work programs.
Experience in developing, coordinating and supporting wellness initiatives including health promotion, mental wellbeing and fitness programs.
Familiarity with benefit plans and pension administration.
Excellent listening, verbal and written communication skills to provide clear explanations of policy and procedures.
Ability to develop and maintain effective working relationships at all levels and with union representatives.
Exercises good judgement, tact and diplomacy in dealing with confidential and sensitive information.
Ability to apply a sensitivity and understanding of diversity and cultural aspects for wellness programming and when communicating with employees.
Solid analytical skills with an ability to identify and investigate administrative and/or calculation problems.
Strong organizational and multitasking skills to meet deadlines, changing priorities and ensure prompt responses and service excellence.
Strong aptitude for attention to detail and precise work.
Advanced proficiency with standard office systems and applications, including advanced working knowledge of excel, HRIS or similar complex databases.
