Position Summary:
The Community Wellbeing (CWC) Health Administrative Assistant works closely with the programs of Community Wellbeing to provide a full range of responsive services and acts as the first point of contact for community members, staff, and visitors that contact MBQ Health Services by visiting in person, telephone, fax and mail. Accordingly, the position incumbent must maintain and project a positive image for the organization. The CWC Health Administrative Assistant must be confident and professional with fantastic communication and interpersonal skills that will contribute to the efficient day-to-to-today administration of the busy office environment of the of the Community Wellbeing Center and Health Services Programs (inclusive of Diabetes Education, Home and Community Care, and Community Health, but not limited to). The CWC Health Administrative Assistant will knowledgeably respond to and/or direct telephone caller inquiries and electronic inquiries, manage correspondence, client appointments, and will assist with the medical transportation service for on-reserve community members, as well as complete other statistical reporting and processing tasks to ensure smooth and efficient functioning of the Community Wellbeing Centre and provide an exceptional standard of care to our clients. Additionally, the CWC Health Administrative Assistant will provide direct support to the Diabetes Education department and assist with all administrative duties of that department. Due to the nature of work, all client information is federally protected under the Personal Information and Electronic Devices Act creating a significant level of responsibility surrounding confidentiality for the incumbent of this position.

Reporting:

The Community Wellbeing (CWC) Health Administrative Assistant is directly responsible and accountable to the CWC Director of Health.

? Provide Administrative Services / Tasks

? Budgeting and Financial Duties

? Complete required reporting and provide information

? Actively Engaged with Community

? Health and Safety:

? All other duties as required

Requirements:

? Post-secondary Diploma in Office Administration or equivalent

? Medical Office Administration certificate is an asset

? Minimum of 3 years' experience in an office environment with responsibilities related to customer service, budget management and data entry

? Administration Experience in a First Nations setting is an asset

? Combination of training, education and experience may be considered (at the discretion of the organization)

? Must provide a satisfactory Criminal Record Check (documentation will be required if successful applicant)

? First Aid and CPR an asset (and must be willing to take the training if hired)

? Valid G Driver's License, with clean abstract and be insurable (on company vehicle)

Knowledge, Skills and Abilities:

? Demonstrates a good knowledge of and respect for Indigenous people, cultural heritage, history, and health issues that impact First Nations people.

? Knowledge of and ability to interact with external partners.

? Maintain secure knowledge of the social and health services available in the community and the surrounding area.

? Knowledge of the Indigenous Non-insured Health Benefits Program.

? Knowledge of the Medical Transportation Program.

? Knowledge of the Indigenous Diabetes Education Program.

? Knowledge of Accounting, including accounts payable, invoicing processes, various reporting, monitoring and reconciliation procedures.

? Knowledge of Privacy and Human Rights standards of practice to ensure compliance.

? Knowledge of Electronic Medical Records.

? Excellent proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, Access) and familiar with database applications (data entry, search / sort and report generation) as well as use of email and electronic calendars.

? Use & understanding of Electronic Medical Records (EMR)

? Excellent interpersonal skills.

? Excellent written and oral communication skills.

? Analytical and problem-solving skills.

? Financially literate and understanding of basic accounting principles, and file management.

? Self-manage and meet deadlines.

? Ability to handle multiple tasks simultaneously. The environment can become noisy and distracting and can result in increased stress levels.

? Ability to work in situations that can become volatile, as the incumbent is the first line contact when dealing with difficult or upset health services clients that may require personal conflict resolution skills.

? Ability to handle tight deadlines and urgent requests, which significantly increases the stress level of the position.
