Job Summary

This position is responsible for the effective and efficient coordination of administrative and tour prep duties for the North America Operations Office tour delivery. Key responsibilities in this front reception role are handling guest service inquiries and issues answering phones, preparing tour and cruise packs, and supporting Tour Director\xe2\x80\x99s in their daily tour delivery.

Responsibilities and Duties

  • Main Reception: answering office telephones, transferring calls, taking messages, actioning phone or email guest service and TD assistance requests
  • Effectively handles Guest Service issues at front counter logging all inquiries and/or issues and resolutions as they arise
  • Responsible for printing staff name badges and assigning luggage tags
  • Responsible for preparation of Welcome Letters for Tour Directors / Tour Packs
  • Assists in preparation, assembly and shipping of Tour and Cruise Pack supplies / inclusions
  • Records, manages and follows up on Lost or Damaged Property (luggage, passports, personal items)
  • Lead on guest related issues as they arise (ie. health concerns, flight changes)
  • Enters pertinent guest information and comments into Express Book, and keeping the operation teams informed via email
  • Assists with crisis management and response
  • Undertakes administrative support as required
  • Collects and disseminates mail in/out of office
  • Coordinates couriers for tour pack, cruise pack and supplier deliveries
  • Required to be a part of a 5 day rotating schedule including working weekends
  • Sharing in rotation of managing emergency operations phone
Qualifications and Skills
  • Strongly developed organisation and planning skills
  • Superior written & verbal communication skills
  • Systems orientated and analytical thinker
  • A people person with an outgoing and welcoming personality
  • Computer knowledge- MS Office and Internet
  • Experience on Galileo and Apollo an asset
