The Opportunity: Reporting to the Manager, of Groups North America, the Groups Specialist role represents our two luxury cruise brands in Western Canada. The primary purpose of this role is to negotiate new group business and coordinate all aspects of groups reservations and play a key role in the sales success of Scenic and our Trade Partners. Booking and managing the Groups enquiry process for the Canadian market and to achieve and maximize group sales of Scenic and Emerald Cruises products all the while providing 5-star customer service to both external and internal customers. Key accountabilities include:

  • Providing customers and the sales team with group quotations and group agreements.
  • Quoting with accuracy of all Group sales promotions, pricing and terms and conditions.
  • Liaising with the Marketing Department to request group flyers with delivery to the customer.
  • Offering primary front-line sales in making and servicing group bookings.
  • Ensuring consistency in service standards and service delivery for group reservations.
  • Providing excellent customer service for inquires, pricing and group bookings to group entities- agent or direct.
  • Issuing timely and accurate group pricing, adjustments, and invoices.
  • Conferring with agents on all changes, movements, and any special requests for their groups.
  • Responding to calls and emails assisting with inquiries and problems in a timely and effective manner.
  • Participating in reservations training sessions.
  • Maintaining several different spreadsheets simultaneously accurately.
  • Working with other team members to meet deadlines.
  • Coordinating the finalization of departing Groups.
  • Establishing Group files and maintaining accurate records.
Required Skills/ Qualifications
  • One (1) year experience in a reservations department or in the travel industry;
  • Must be organized and process oriented with strong attention to detail;
  • Proficiency in MS Office;
  • Excellent customer service skills with ownership mentality;
  • Must be unafraid of conflict and able to use diplomacy and strong judgement skills to effectively deal with difficult people or situations;
  • Ability to prioritize and undertake multiple tasks;
  • Excellent written and verbal communication skills;
  • Availability and ability to travel to Vancouver, BC on occasion;
  • Ability and willingness to go above and beyond.
