Position Summary:

The Grants Officer, Strategic Initiatives is a key member of the Strategic Initiatives unit in the VP-RI sector and reports to the Manager, Finance. The primary focus of this position is to administer a variety of activities related to post-award research grant administration related to institutional programs mainly funded by Canada Foundation for Innovation (CFI) and prepare budget sections for large-scale grant applications under several federal and provincial funding programs. In this capacity, the Grants Officer is contributing to the attainment of McGill\xe2\x80\x99s objectives and targets for research (dollar value and/or number of successful proposals).

The Grants Officer assists researchers and provides advice in preparation of budgets related to grant proposals. In this capacity, the incumbent works closely with other units within the sector, notably the Office of Sponsored Research on research administrative matters specifically related to post-award administration. Across portfolios, frequent contacts with Research Financial Management Services (RFMAS and Procurement Services are expected and occasionally with other units such as Facilities Management and Ancillary (FMAS) and support staff in Offices of the Provost and Faculty Deans.

Primary Responsibilities:

  • Facilitate, organize, and support McGill\'s research activities related to large-scale infrastructure and network programs, thereby furthering McGill\'s reputation as a leading research university in Canada and the world.
  • Deliver or support the delivery of research administration services to a faculty/department/unit in situations where there is a variety of practices and precedents.
  • Provide outstanding customer service by assisting and advising researchers and academic and administrative staff at the Department and Faculty levels during both the pre-award and post-award phases of research grants.
  • Support researchers in a wide range of post-award matters concerning regulatory compliance for institutional and other large-scale grant programs.
  • Participate in development and improvement of procedures and/or controls to enhance the operation of the unit.
  • Undertake in-depth analysis of files/complex issues, articulate alternatives and recommend course of action.
  • Review and finalize budgets of funded research projects. Work with researchers and partner units to prepare budget implementation plans and ensuring that budgets in grant applications are complete, accurate and meet compliance regulations and that all requirements of the granting agencies are met.
  • Support researchers in a wide range of post-award matters concerning CFI and other grant programs.
  • Collaborate closely with Research Financial Management Services to ensure smooth financial administration of awards.
  • Respond to requests from funding agencies on specific projects.
  • Maintain and oversee statistical tracking and reporting and support pre-award activities as budget expert.
  • Provide expert support to the research community in applying for grants, facilitate the preparation of proposals and assisting researchers with budget planning and preparations.
  • Act as a resource person and subject matter expert to the McGill research community on sponsors polices, procedures, and guidelines.
  • Assist researchers to access guidelines and tools to facilitate the development of applications, including instructions from the agencies, guidelines, best practice, forms, and templates as needed.
  • Liaise with FMAS to plan for laboratory space review in order to prepare required documentation for projects that involve renovation and construction.
  • Review and finalize budgets of funded research projects. Work with researchers and partner units to coordinate budget implementation plans and ensuring that budgets in grant applications are complete, accurate and meet compliance regulations and that all requirements of the granting agencies are met.
  • Ensuring that internal procedures are met including verifying signatures on appropriate internal forms, applications, contracts, and agreements.
  • Support the Manager, Finance in preparing for financial monitoring site visits by funding agencies which includes preparing the required documentation and liaise with other units such as Research Finance and Procurement.
  • Prepare change requests for submission to funding agencies during the terms of funded project terms. Contribute to address conditional funding issues, prepare responses to requests from funding agencies.
  • Ensuring that specific information is shared with colleagues according to their respective mission (renovations, fund opening requirements, change request, updates, or changes of funding agencies requirements to Faculty and faculties, etc.)
  • Assist PIs in submission of the annual CFI Project Progress Reports.
Other Qualifying Skills and/or Abilities

3 years\xe2\x80\x99 experience in research administration in a Canadian university or funding agency. Ability to interact professionally and effectively with Investigators and administrators from across the University community as well as with funding agencies staff. Scientific/research interest and background to administer and provide feedback on complex grants applications prior to submission. Process-oriented and ability to present feedback and processes in coherent ways. English and French spoken and written to communicate with all stakeholders. Self-motivated, with strong organizational skills, able to effectively prioritize responsibilities, able to undertake multiple projects simultaneously. Must be able to meet tight deadlines and demonstrate professionalism in working with a team of people to achieve specific outcomes. Computing skills, including Outlook, Word, Excel, PowerPoint, MS Teams, Zoom and SharePoint. Service-oriented approach to people and a proven ability to solve problems.

Annual Salary: (MPEX Grade 05) $65,500.00 - $81,870.00 - $98,240.00
