Our researchers\' expertise and strength attract over $600 million annually from various research funders and partners including federal and provincial governments, industry, foundations, and other organizations.PositionThe Grant Compliance Analyst for the Institutional Portfolio at the University of Alberta will independently manage a high volume of complex research funding, agreements, amendments, and post-award financial administration. Key responsibilities include negotiating and administering agreements, interpreting policies and sponsor terms, and ensuring compliance with both funding agency guidelines and UofA policies.Reporting to Manager Institutional Programs Team, the primary responsibilities of the Grant Compliance Analyst include overseeing post-award administration, ensuring that both contractual and financial management activities align with funding agency guidelines and University of Alberta (UofA) policies. This role involves monitoring and ensuring that all funding agency and UofA milestones are met on time.The analyst will evaluate and improve internal processes, participate in training sessions with the manager, and support outside agencies, central units, and RAS staff. Additionally, they will provide advice and guidance to department administrators and researchers. The role requires a highly motivated, organized self-starter who can work independently and collaboratively.Duties

  • Coordinates and manages financial monitoring reviews and audits, including drafting responses to recommendations.
  • Prepares, signs off, and submits claims and complex financial statements to sponsors, ensuring compliance with accounting principles and foreign currency translation.
  • Analyzes and prepares documents for quarterly and year-end reporting, and reviews financial terms and conditions of funding awards to meet reporting requirements. Identifies potential financial risks related to institutional awards and makes recommendations.
  • Develops and implements internal policies and procedures, applies these policies to ensure proper revenue recognition, and identifies system-related errors or issues with proposed solutions. Reviews and approves amendments to project budgets and assesses expenditures for eligibility and adherence.
  • Assists with establishing financial requirements for staff negotiating agreements and supports the development of RAS training for the University community.
  • Monitors, investigates, and collects past due accounts receivable, closes research projects once all terms and conditions are met, and participates in User Acceptance Testing for systems development as required.
  • Negotiates, reviews, drafts and approves /agreements/awards on behalf of the university.
  • Manages the identification, administration, and processing of all proposed sub-grants and sub-contracts to ensure their completion Authorizes the release of funding once University and sponsor terms and conditions have been met.
  • Provides guidance and professional support in all aspects of research administration related to negotiation, finalizing of agreements and post-award administration.
  • Approves grant applications on behalf of the institution valued at up to and including $2,000,000 total project cost.
  • Approves agreements on behalf of the institution valued at up to and including $1,000,000 total award amount.
  • Ensures all critical documents defining research agreement terms and conditions are complete, including scope of work, budget, University signatures, and certifications.
  • Approve and authorize project creation in PeopleSoft for research funding, ensuring compliance with University and sponsor policies and recommending terms and conditions to the Assistant Director.
  • Verifies that research agreements account for indirect costs, invoicing criteria, reporting obligations, and management of unspent funds.
  • Develops and maintain expertise in research funding administration and University/sponsor policies.
  • Manages agreement documentation in database and paper filing systems, including deadlines, guidelines, and obligations.
  • Contributes to policy and procedure manuals and information tools for research funding administration.
  • Assists researchers through workshops and investigate potential funding opportunities.
  • Finds innovative solutions to evolving rules and regulations
Qualifications
  • Undergraduate degree or graduate degree preferred; a combination of post-secondary training and experience will be considered.
  • Minimum 5 years\' research administration work experience, preferably in a post-secondary environment.
  • Excellent budgetary and demonstrated extensive knowledge of MS Excel skills and understanding.
  • Excellent negotiating skills interpreting and applying policies and procedures.
  • Strong proficiency in Windows using Microsoft Office (Word, Excel), Google Apps, Internet and databases; required.
  • Proficient understanding and training in PeopleSoft application and tools
  • Strong analytic and communication skills (listening, verbal, written).
  • Skilled in multi-tasking and prioritizing multiple demands; keen attention to detail.
  • Strong time management and workflow skills and the ability to manage a high volume of files with conflicting priorities.
  • An understanding of the University\'s policies and procedures with respect to research administration is an asset.
  • A thorough understanding of the principles of service excellence and a demonstrated ability to deliver superior customer service to clients.
  • Excellent interpersonal skills.
