Your opportunity:

Reporting to the Academic Director and working closely day-to-day with the Graduate Coordinator and Undergraduate Coordinator, this position is responsible for providing administrative support to the Undergraduate and Graduate programs in the Women & Gender Studies Institute.

Graduate Program: The incumbent administers the Master\'s, Ph.D. and Collaborative Programs in Women and Gender Studies. Duties for the Graduate Program Office include: interprets and applies University of Toronto and WGSI guidelines and procedures; administers the on-line admissions process and reviews graduate applications for the School of Graduate Studies; prepares files for the Graduate Admissions Committee; organizes course timetabling, student orientations and student registration; provides data regarding scholarships & fellowships for the Faculty of Arts & Science; assists Graduate Coordinator, Undergraduate Coordinator and Business Officer with appointments of Teaching Assistant positions within the Department; and prepares SGS Calendar entries for all three graduate programs. Maintains graduate database for current students, updates ROSI student records, monitors project/thesis requirements, and recommends students for graduation. Generates and analyzes statistical information. Prepares academic handbooks, updates departmental website, and coordinates meetings. Liaises with the Graduate Student Union regarding graduate student events. Advises students and advises faculty on Departmental and School of Graduate Studies guidelines procedures and regulations. Represents WGSI in correspondence with potential students and others interested in the graduate program(s).

Undergraduate Program: Duties for the Undergraduate Program Office include: interprets and applies University of Toronto and WGSI guidelines and procedures; prepares the Faculty of Arts & Science Calendar entry and oversees course timetabling, room allocation, course balloting, course enrolment, final exams, and petitions. The incumbent coordinates course evaluations and marks reporting in each session (fall/winter/summer). Prepares academic handbook, updates departmental website, and coordinates meetings. Generates and analyzes statistical information. Represents WGSI in Fall Campus Day, March Break Open House and other Faculty of Arts & Science recruiting events. Liaises with Undergraduate Student Union. Advises students and advises faculty on Departmental and Faculty of Arts & Science guidelines, procedures and regulations.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual\'s background
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Analyzing statistical information to inform enrollment projections and planning
  • Reviewing and assessing admissions applications
  • Coordinating the preparation and distribution of program and/or course material
  • Resolving issues that may occur during events and escalating problems as required
  • Handling sensitive and/or confidential information
  • Generating reports
Essential Qualifications:
  • Bachelor\'s Degree or acceptable combination of education and recent and equivalent experience.
  • Minimum four (4) years of recent and relevant experience in academic program administration for graduate and undergraduate offices and student services in a university environment.
  • Experience providing academic advising to graduate and undergraduate students on a wide range of academic and financial matters.
  • Experience providing administrative support in graduate and undergraduate offices, including coordinating exam processes; handling petitions; course prerequisite waivers;developing and maintaining records and files; coordinating calendar submissions; course and timetable scheduling; room assignments; determining and evaluating student applications for eligibility of enrollment; coordinating scholarship applications and award nominations; calculating funding packages; analyzing and maintaining statistical data; and other related graduate and undergraduate administrative duties.
  • Experience advising faculty and TAs on appropriate undergraduate academic guidelines and procedures; experience supporting academic administrators by coordinating activities and managing deadlines.
  • Experience preparing and leading presentations, seminars and/or workshops, planning and organizing special events, and preparing promotional and outreach material.
  • Demonstrated experience writing detailed reports, handbooks, and updating the academic calendar.
  • Experience creating and maintaining databases, and experience extracting, analyzing, and arranging relevant information in reports to inform decision making.
  • Experience coordinating the recruitment and hiring of teaching assistants and stipend lecturers (CUPE 3902 Units 1 and 3).
  • Experience working with and interpreting University of Toronto, SGS, and Faculty of Arts and Science graduate & undergraduate policies, guidelines, collective agreements, and procedures.
  • Experience creating and maintaining databases, and experience extracting, analyzing, and arranging relevant information in reports to inform decision making.
  • Advanced skills in ROSI, ROSI Express, Quercus, Degree Explorer, eMarks, or similar student systems to enter data, retrieve information, and generate reports.
  • Proficiency in Office 365 suite (Word, Excel, PowerPoint, Outlook, OneDrive), Sharepoint, and content management systems.
  • Proven understanding and application of equity, diversity, and inclusion theories as applicable for post-secondary students; experience identifying both systemic and individual barriers to student success and helping students overcome them.
  • A strong customer service orientation, and effective interpersonal skills to deal with students, staff, and faculty with professionalism and tact; discretion in handling confidential information.
  • Demonstrated ability to organize work and establish priorities in a flexible way, and successfully meet deadlines with competing priorities and interruptions.
  • Ability to take initiative and work proactively, with demonstratedexperience recommending process and workflow improvements.
