Position Overview

The Graduate Science Centre in the Faculty of Science is currently seeking a Full-time Regular Graduate Student Recruitment Specialist.

Reporting to the Manager, Graduate Science Centre, the Graduate Student Recruitment Specialist is the primary point of contact for prospective graduate students in Science programs. This position will develop and implement a graduate student recruitment strategy to increase the number of highly qualified applicants to the graduate professional programs and increase conversion from admitted to enrolled students and will identify, recruit, convert, and admit high quality applicants for the professional and academic graduate programs in Science.

This position is a demanding high-energy, high-profile, role that requires exceptional public speaking skills as well as the ability to deal with the community and public in a professional, tactful, efficient and effective manner. The incumbent must be comfortable delivering public-facing presentations, and communicating with audiences from diverse backgrounds.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Strategy and Planning:

  • Planning, developing and executing recruitment, marketing and conversion strategies for the graduate programs to maximize market awareness and applications to the programs.
  • Meeting recruitment targets by initiating, developing and managing market trends.
  • Planning and executing multiple projects simultaneously, prioritizing tasks appropriately and setting deadlines.
  • Managing complex issues, while ensuring high impact projects are on schedule, on budget and aligned with Faculty of Science strategic goals.
  • Maintaining strong relationships with team members, staff, suppliers, clients and other target audiences on and off campus.
  • Working collaboratively on marketing and communication strategies with the Marketing/Communication team to inform of the current trends and provide ROI assessment.
  • Collaborating with International Specialists in Science and in other University of Calgary units.
  • Using quantitative measures and qualitative assessments to track and analyze success of recruitment efforts.
  • Working with the proponents of new programs to complete and present competitive analysis, informing their design and positioning while under development.
Lead Generation & Recruitment:
  • Promoting and publicly speaking about our programs at internal and external events including information sessions, industry events, tradeshows and webinars.
  • Monitoring and reporting registrations and recruitment statistical data for professional graduate programs.
  • Collaborating with directors of the individual professional programs to analyze market needs for executive programs by identifying new target markets (individuals, organizations, associations).
  • Generating and qualifying suitable applicants to professional graduate programs.
  • Working with Associate Deans Strategic Partnerships and Innovation and Graduate Education, the GSC Manager and extended team to define strategies, processes, and initiatives to achieve revenue goals through financially viable, high quality executive development opportunities.
  • Leading the recruitment of high-caliber prospective participants for the professional programs through the development and coordination of recruitment activities.
  • Implementing and maintaining current information on leads, contacts, proposals and utilizing a CRM system.
Lead Conversion & Follow-up:
  • Developing and updating conversion plans and materials including e-marketing content campaigns, call campaigns, conversion presentations, lead follow up, and other engagement initiatives.
  • Liaising with the Development and Alumni Engagement team to plan and conduct alumni surveys.
  • Working with Science leadership to use Canadian Graduate Program Student Satisfaction surveys to support appropriate changes to Science programs.
  • Corresponding with leads to accelerate the sales cycle and drive conversion which includes follow-ups, a high-level of customer service and sales cycle tracking.
  • Drafting compelling and competitive proposals / bids by working with the management team, academic directors and facultyProvide guidance to potential applicants regarding financial assistance opportunities, career opportunities and alumni successes.
Qualifications / Requirements:
  • A bachelor\'s degree is required; an MBA or Master\'s with a background in Science is preferred.
  • At least 3-5 years of progressive student affairs required, student recruitment experience preferred.
  • Proven skills in networking, relationship building, negotiation and key account management is required.
  • Strong planning, time management and organizational skills, as well as effective decision-making, multitasking and problem solving ability in a deadline driven, high volume environment required.
  • Familiarity with analytics and marketing, and sales KPI tracking and reporting is required.
  • Highly developed ability to deal with competing requirements and job demands.
  • Professionalism and strong work ethic, as well as the ability to operate effectively within a dynamic, customer-facing team environment is required.
  • The ability to handle ambiguity and resolve emerging issues with initiative and a collaborative mindset is essential.
  • Willingness and ability to travel and to work weekends as necessary.
  • Advanced computer skills including MS Office Suite (including Word, Outlook, PowerPoint, Excel and Power BI), Marketo, and PeopleSoft required; ) and Customer Relationship Management (CRM) system knowledge would be a strong asset.
  • Experience with international clients, and communication/collaboration with external units are considered assets.
  • Knowledge of University of Calgary culture, policies, procedures and core business systems is considered an asset.
