Your opportunity:

The Department of Laboratory Medicine and Pathobiology (LMP) occupies a unique position at the interface between basic biomedical science and clinical practice. We are an assembly of over 400 investigators, scientists, and clinicians, who educate and mentor trainees pursuing undergraduate, graduate, and postgraduate medical studies, engaged in investigating disease mechanisms and patterns and translating new knowledge and discoveries into improved health outcomes for patients and populations.

As Graduate Programs Administrator, you will support our graduate coordinators, faculty and students of our research stream MSc and Phd programs, which train new and emerging scientists and laboratorians in 10 research areas including molecular and cell biology, cancer, cardiovascular disease, brain and neuroscience, genetics, and more recently artificial intelligence in healthcare. As a member of our student services team, you will coordinate program activities that include communicating with prospective students, handling applications, onboarding, and orientation of new students to the programs, and documenting learner progress to program completion. Your exceptional interpersonal skills and demonstrated ability to facilitate, navigate, and support students and faculty through their educational experiences will be critical to the continued success and reputation of our research stream programs.

Your responsibilities will include:

  • Acting as the first point of contact, responding to inquiries and redirecting as appropriate
  • Scheduling appointments for prospective students, applicants, and current students to address individual needs
  • Coordinating program schedules and program activities with faculty and staff
  • Providing detailed information on program requirements, procedures and deadlines and verifying the accuracy and completeness of application documents and information
  • Coordinating event logistics and supporting committees
  • Creating and updating student records, organizing data and generating reports
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum two years of related administrative experience, preferably in a University or post secondary environment
  • Demonstrated student services experience and direct experience working with and collaborating with faculty
  • Demonstrated experience coordinating academic programs, coordinating examinations, schedules and timetables, and verifying and monitoring student records
  • Experience coordinating and supporting committees
  • Experience collecting, maintaining and reporting on data
  • Experience updating website content
  • Advanced proficiency with MS Office 365, SharePoint, content management systems, and experience working with SLATE, ROSI/Acorn, ROSI Express, Quercus, eMarks, or similar student systems to enter data, retrieve information, and generate reports
  • Excellent oral and written communicationsskills
  • Strong initiative, attention to detail, interpersonal, proactive and highly resourceful
  • Must be able to cope with pressures and deadlines while adapting to evolving processes and procedures
  • Ability to take initiative and work proactively, with demonstrated experience recommending process and workflow improvements
