About the Role

Provides administrative, clerical and secretarial support to the graduate program of the Department of Sociology and Anthropology. Responds to faculty and student requests regarding program information for Sociology and Anthropology to assist with the successful delivery of programs by providing diverse administrative support relating to recruitment, admissions, registration, courses, exams, grading, graduation processes and procedures, and all other program related requirements. Provides financial and general operational assistance to the Department of Sociology and Anthropology and the Labour Studies Program. Monitors department operating and grant budgets under the guidance of the supervisor, processes all relevant financial documentation; reconciles and maintains financial records for projects, research grants, petty cash and operating accounts. Maintains the accuracy and integrity of departmental records, files, databases and spreadsheets.

Qualifications

High school graduation and one year of post-secondary education or formal certificate/program equivalent with courses or formal training in office procedures, word processing, spreadsheet, database applications, and office procedures. 3 years minimum experience. An equivalent combination of formal education, certificate/program of study ad experience is acceptable.

  • Excellent knowledge of university regulations, policies, and procedures.
  • Excellent knowledge of standard office practices, procedures, methods and equipment.
  • Good knowledge of manual and computerized record keeping systems and concepts.
  • Good knowledge of basic bookkeeping procedures and accounting principles.
  • Excellent organizational skills including the ability to prioritize work.
  • Excellent interpersonal, customer service, and communication (oral and written) skills.
  • Excellent proofreading and editing skills.
  • Excellent attention to detail, analytical reasoning, problem-solving and decision-making skills.
  • 60 wpm keyboarding with a high degree of accuracy.
  • Ability to use word processing, database, spreadsheet, internet and e-mail applications, and web content management systems (e.g., Word, Excel, PowerPoint, AEM) at an intermediate level.
  • Ability to use financial reporting and enterprise-level information systems (e.g., SIMS, FAST, FINS) at an intermediate level.
  • Ability to use applicant evaluation systems (e.g., TRACS, OASIS, GA3).
  • Ability to use desktop publishing software and presentation applications (e.g., InDesign, PowerPoint) at an intermediate level.
  • Ability to use email calendaring tools (e.g., MS Outlook) and PDF software (i.e., Adobe Acrobat) at an intermediate level.
  • Ability to work independently and meet deadlines.
  • Ability to exercise mature judgment, initiative, tact and diplomacy.
  • Ability to complete a high volume of work with frequent interruptions.
  • Ability to compose correspondence with excellent grammar, punctuation and spelling.
  • Ability to handle confidential/sensitive material with discretion.
  • Ability to perform arithmetic calculations with a high degree of accuracy.
  • Ability to adapt to changes to departmental policies and procedures.
  • Ability to interact with students in a calm, professional and respectful manner.
  • Ability to record and transcribe minutes with a high degree of accuracy.
  • Ability to maintain records with a high degree of accuracy.
  • Ability to research and understand external grant rules and regulations.
  • Ability to work as a member of a team.
  • Ability to work at other campus locations or attend off-campus job-related training or events.
