Job Description

The Golf Course Reservations Supervisor will be responsible for providing leadership support for the Golf Reservations Team. The successful candidate will have strong communication and organizational skills and is comfortable making quick and creative decisions, and exceeding guest expectations while demonstrating a high level of responsibility for their own actions.

What you will be doing:

Reporting directly to the Director of Golf, the responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, engaging and friendly service
  • Work with the Director of Golf to implement strategies to maximize profitability
  • Lead the team of Golf Reservation Agents providing training, mentoring, coaching and performance management. Monitoring the department's call capture rates to ensure guests' expectations are exceeded
  • Create, promote and collate Golf Guest Satisfaction survey results and pass on feedback to relevant department heads
  • Provide support in analysis of tee sheet inventory and consumption by reporting on relevant data from the system
  • Oversee the completion of Golf Reservations daily task list including confirmation calls, identifying Hotel guests, daily department communications and pace reports
  • Responsible for accurate promotion and record keeping of Golf memberships, cart pass registrations, and all contracts and billing paperwork
  • Work with local corporate partners to sell, create and manage corporate golf pass programs
  • Responsible for creating and distributing the Golf division e-newsletter and maintaining & balancing our Golf EMS (Online Payment) system
  • Responsible for managing payroll functions in Dayforce and Unifocus systems for the Golf division including the Golf Services, Retail and Turf teams
  • Be the main contact for the Executive Office, PR & Sales and VIP Concierge for reservation requests
  • Liaise with Banff Springs Golf Club board members including the Secretary, Club Captains and Treasurer
  • Maintaining a par stock of all office supplies, membership cards and gift cards
  • Creation of tee sheet for following season including all start/end times, block bookings and holds
  • Create online booking windows in Hotel activity booking software for golf course activities
  • Manage golf course phone system in conjunction with local Telecoms company including voicemail, call distribution and KIPSU text messaging service
  • Be the main point of contact for the Golf Recognition system including the collating and displaying of recognition in the department
  • Required to make new rates for special events or outings
  • Other duties as assigned
Your experience and skills include:

Highly organized with the ability to manage multiple priorities under time constraints is key to the success of this individual.

Attention to detail is paramount.

Flexible and able to embrace and respond to change effectively.

Computer literate, with advanced Excel knowledge.

Previous supervisory experience would be considered an asset

Previous administrative experience would be considered an asset

Physical Aspects of Position (include but are not limited to):

Constant sitting throughout shift (responsibilities are primarily computer based)

Minimal carrying, lifting or pulling required for role
