gestionnaire de bureau

assure la fluidite des operations quotidiennes et contribue a creer un environnement de travail

accueillant, organise et stimulant

, sous la supervision du/de la

directeur(trice) des ressources humaines

, il/elle veille a ce que tout fonctionne rondement - de l'accueil a la logistique, en passant par l'ambiance au sein du bureau.

Vos responsabilites principales





Accueil & gestion des acces


- Point de contact principal pour les employes et visiteurs

- Gestion des arrivees, cartes d'acces et coordination avec TI et gestion d'immeuble

- Soutien logistique pour les autres bureaux de la region

Organisation & approvisionnement


- Maintenir la proprete et l'ordre du bureau (rangement, cafeteria, salle commune)

- Gerer les commandes : fournitures, collations, produits menagers, repas, etc.

Suivi financier de base


- Gerer les budgets et factures des commandes

- Tenir l'inventaire et le registre des depenses

Installations & logistique


- Assurer le bon etat des locaux et equipements

- Coordonner les services externes (menage, maintenance, securite)

- Participer au comite sante et securite et aux procedures d'evacuation

- Gerer les reservations de salles et les demandes liees a l'environnement de travail

Courrier & envois


- Reception et distribution du courrier et des colis

- Gestion quotidienne des cheques et fax via Zendesk

- Preparation des envois pour les employes et conseillers

Vie du bureau & RH


- Participer a l'accueil et l'integration des nouveaux employes

- Collaborer au comite social et aux initiatives bien-etre


- Commander les repas de direction et gerer la liste des presences quotidiennes

- Contribuer a l'organisation d'evenements internes

Baux & assurances commerciales


- Gestion documentaire des baux (Montreal, Quebec, Weyburn)

- Suivi et renouvellement des polices d'assurance

Autres taches connexes


- Soutien ponctuel aux equipes internes selon les besoins




Profil recherche





Experience pertinente en gestion de bureau, coordination ou administration Maitrise du francais et de l'anglais, a l'oral et a l'ecrit Excellentes aptitudes en communication et en service a la clientele Sens aigu de l'organisation, de la responsabilite et de la discretion Polyvalence, rigueur et autonomie Aisance avec les outils bureautiques et l'intelligence artificielle

About the Role





As a cornerstone of office life, the

Office Manager

ensures the smooth running of daily operations and contributes to creating a

welcoming, organized, and engaging

work environment.

Reporting to the

Director of Human Resources

and part of the

Talent and Culture

team, this role ensures that everything runs efficiently -- from reception to logistics, and the overall office atmosphere.

Main Responsibilities





Reception & Access Management


- Act as the main point of contact for employees and visitors

- Manage arrivals, access cards, and coordination with IT and building management

- Provide logistical support to other regional offices

Organization & Supplies


- Maintain office cleanliness and order (common areas, cafeteria, meeting rooms)

- Manage purchases: supplies, snacks, cleaning products, meals, etc.

Basic Financial Tracking


- Manage office budgets and purchase invoices

- Maintain inventory and record of expenses

Facilities & Logistics


- Ensure the proper condition of office spaces and equipment

- Coordinate external service providers (cleaning, maintenance, security)

- Participate in the Health and Safety Committee and evacuation procedures

- Manage meeting room reservations and respond to workplace requests

Mail & Shipments


- Receive and distribute incoming mail and parcels

- Manage daily check processing and fax distribution via Zendesk

- Prepare outgoing shipments for employees and advisors

Office Life & HR Support


- Assist with onboarding of new employees

- Collaborate with the social committee and wellness initiatives

- Order meals for the executive team and manage daily attendance lists

- Help organize internal events and office gatherings

Leases & Commercial Insurance


- Manage documentation for office leases (Montreal, Quebec City, Weyburn)

- Track and renew commercial insurance policies

Other Related Duties


- Provide ad-hoc support to internal teams as needed




Profile





Relevant experience in office management, coordination, or administration Excellent command of

French and English

, both spoken and written Strong communication and customer service skills Highly organized, reliable, and discreet Versatile, detail-oriented, and autonomous Comfortable using office software and artificial intelligence tools
