The Penticton Yacht Club is seeking to fill the General Manager position for both Penticton marinas.
Position Overview:
The General Manager (GM) of the Penticton Yacht Club (PYC) is responsible for the safe, efficient, and member-focused management of all PYC operations and facilities, including Okanagan Lake and Skaha Lake marinas. Reporting to the Board of Directors through the Commodore, the GM ensures members receive exceptional service, while maintaining the club's long-term operational, financial, and community sustainability.
Key Responsibilities:
1. Leadership & Governance
- Report to and work closely with the Board of Directors and Commodore to implement policies, procedures, and strategic objectives.
- Attend and participate in monthly Board, general, and committee meetings, providing timely reports and recommendations.
- Serve as the primary liaison between staff, volunteers, and the Board.
- Represent the PYC with external organizations, contractors, and government bodies.
2. Operations Management
- Oversee daily operations across the PYC, Okanagan and Skaha marinas, clubhouse, gas dock, and maintenance facilities.
- Ensure facilities and equipment are safe, secure, compliant with regulations, and maintained to a high standard.
- Manage capital improvement projects, infrastructure repairs, and emergency preparedness.
- Develop and implement annual operational and moorage plans.
3. Financial Management
- Prepare annual budgets (operating, capital, and moorage) in consultation with the Board.
- Present accurate monthly financial statements and variance analyses to the Board.
- Ensure proper financial controls, cash flow management, and adherence to PYC policies and procedures.
- Manage leases, rental agreements, and other revenue streams to ensure long-term financial sustainability.
4. Member Services & Engagement
- Promote a welcoming and professional environment that prioritizes member satisfaction.
- Respond promptly to member inquiries and resolve conflicts constructively.
- Ensure effective communication with members via website, newsletters, social media, and notices.
- Support and participate in member events, regattas, youth sailing, and education programs.
5. Staff & Volunteer Management
- Recruit, train, supervise, and evaluate PYC staff, including administration, marina operations, maintenance, and service teams.
- Provide leadership and clear performance standards, fostering a collaborative and motivated workplace.
- Work alongside and support volunteers in event delivery, committees, and special projects.
6. Community & Stakeholder Relations
- Build and maintain strong relationships with City of Penticton officials, regulatory authorities, tourism organizations, and neighbouring businesses.
- Act as PYC's spokesperson in the community, enhancing its reputation as a premier boating and social club.
- Support initiatives that increase community involvement and promote boating in the region.
Specific Duties:
Under the direction of the Board of Directors, the General Manager is responsible for the following, with the assistance of an administration and service team:
- Ensure that prompt and courteous service is provided to all members, in person, on the phone, or through automated systems;
- Monitor the maintenance of member records and PYC's administrative and financial files in relationship to membership services;
- Manage administrative support activities and participation in the variety of PYC programs such as youth and education, membership, and club event planning;
- Coordinate internal and external communications through the website, weekly news blasts by email, and other sources;
- Develop and implement department budgets and operational plans in consultation with the appropriate Board members;
- Provide and present financial statements to the Board of Directors at monthly general meetings;
- Attend scheduled monthly general meetings of the PYC;
- Attend and participate in committee and subcommittee meetings when needed;
- Monitor and maintain the moorage (within the basin and on the lakes), fuel delivery station, clubhouse, and administration facilities;
- Ensure the facilities are safe, secure, and comply with the policies and procedures outlined in the PYC policies, procedures, and Moorage Regulations;
- Supervise and train staff and volunteer workers in the repair and maintenance of the moorage and clubhouse facilities;
- Oversee the allocation and auditing of moorage to the membership by providing management, direction, and support to the Board of Directors with respect to moorage administration;
- Provide supervisory and administrative oversight and support to PYC service staff that work in marina office, gas dock, clubhouse, and maintenance staff;
- Administer and coordinate, on behalf of the Board of Directors, all capital improvement initiatives specific to the PYC and Okanagan and Skaha marina infrastructure projects (including dock maintenance and repair, surrounding grounds, equipment, and clubhouse);
- Coordinate and oversee the Maintenance Performance Plan for the City of Penticton. This includes coordination with the City of Penticton Fire Department for annual inspections and other emergency and environmental management procedures;
- Respond to member inquiries and resolve conflicts;
- Participate in and support a wide range of club activities and special events as a member of various organizing committees and groups;
- Observe all club policies in dealing with the membership and ensure that all house rules and bylaws are respected and complied with;
- Represent the club with outside organizations, tourism bodies, contractors, and levels of government, including serving as the primary spokesperson when appropriate;
- Administer, coordinate, and oversee all current or future secondary leases and rental agreements; and
- Attend to and solve issues related to marina activities that may arise from time to time.
Qualifications & Skills:
Required:
- Proven leadership in operations management, ideally in hospitality, marina, club, or recreational facilities.
- Strong financial acumen, including budgeting, reporting, and cost control.
- Excellent communication, interpersonal, and conflict-resolution skills.
- Demonstrated ability to supervise, motivate, and develop staff and volunteers.
- Customer service orientation with a member-first mindset.
- Ability to work flexible hours, including evenings, weekends, and peak boating season.
Preferred:
- Experience in marina management and/or boating (power and/or sail).
- Familiarity with club governance models and volunteer board structures.
- Knowledge of health, safety, and environmental compliance.
- Proficiency in IT systems, financial software, and digital communications.
Reporting Structure:
- Reports To: Board of Directors (through the Commodore)
- Direct Reports: Administration staff, marina/gas dock staff, clubhouse/maintenance staff, and seasonal employees.
Summary:
