GAMES ASSISTANT OVERVIEW



The Special Olympics Canada Summer Games Medicine Hat 2026 are a multi-sport national event for athletes with intellectual and developmental disabilities who have qualified to represent their Province/Territory. The Games will take place in Medicine Hat, AB from August 9-16, 2026, and will include over 1700 athletes, coaches, officials, support staff, and mission staff from across Canada. The Games include competition in ten (10) official Special Olympics sports: athletics, basketball, bocce, bowling, golf, powerlifting, rhythmic gymnastics, soccer, softball, and swimming. These national games are the qualifying event for athletes to become members of Special Olympics Team Canada attending the Special Olympics World Summer Games in Santiago, Chile in 2027.

POSITION SUMMARY



The Special Olympics Canada Summer Games Medicine Hat 2026 will be organized and executed within a collaboration between Special Olympics Canada (SOC), the City of Medicine Hat (CMH), and the local Games Organizing Committee (GOC) created through the Medicine Hat Alberta Games Society (MHAGS). The Games Assistant, reporting to the Games Manager, is responsible for the day-to-day administrative operations of the Games Office. This role supports the effective functioning of the office through correspondence management, filing, scheduling, and general support to staff, volunteers, and the public.

RESPONSIBILITIES



The Games Assistant responsibilities include, but are not limited to, the following:

Manage telephone and email correspondence, ensuring prompt and professional communication. Maintain organized filing systems, both electronic and paper-based. Process incoming and outgoing mail and courier deliveries. Provide simple bookkeeping support, including data entry and tracking of financial transactions. Coordinate booking and setup of meeting spaces. Maintain Games inventory Assist with the organization of meetings, including the development of agendas, meeting minutes, and presentations. Provide reception and front-line support to guests, volunteers, and the public. Support the Games Manager and GOC team with additional administrative tasks as required. Contribute to the creation of a concise final report on the Games. Work collaboratively as a member of the GOC staff team. Work collaboratively with Special Olympics Canada, community partners, and key contributors on the plans and execution of the Games.

SKILLS & ABILITIES



Ability to understand and speak the French language

Excellent written and verbal communication skills, with the ability to manage relationships with key partner/contributors. Experience with Microsoft Office Suite and SharePoint Strong organizational skills and time management skills with the ability to prioritize tasks. Demonstrated customer service skills with a friendly and professional demeanor. Ability to work under pressure, with flexibility to adapt to changes or last-minute challenges. Availability to work flexible hours, including evenings and weekends, especially leading up to and during the Games
QUALIFICATIONS

High school diploma required; a post-secondary diploma in Office or Business Administration is preferred. Minimum of 2 years of relevant administrative or office experience. Knowledge and experience of working for a not-for-profit, events, or volunteer-based environment is an asset. Knowledge of Special Olympics mission and values, with a passion for inclusive events and supporting athletes with intellectual disabilities.
