Position Summary :
Working as a member of the inter-professional team, the Clinical Administrative Assistant will support the inter-professional Geriatric Assessment Intervention Network (GAIN) Community Team in the delivery of clinical services to older adults and seniors. The Clinical Administrative Assistant is responsible for greeting patients, scheduling appointments, maintaining patients\xe2\x80\x99 clinical records, maintaining medical devices and provides other administrative support for practitioners.

Responsibilities: :
1. Support the delivery of clinical services to GAIN Community Team clients :
    • Greets and directs patients, caregivers, visitors and staff
    • Answers and screens telephone calls
    • Takes accurate messages or directs call to appropriate person
    • Responds to requests in a timely manner and provides clear, accurate information within scope of knowledge and authority
    • Coordinates and communicates appointments and procedures for the professionals and clients.
2. : Maintain and Update Clinical Information and Appointments :
    • Updates patient demographic and clinical information as necessary.
    • Create, compile and maintain patient charts and filing system
    • Obtains and schedules referrals for all patient\xe2\x80\x99s appointments.
    • Compile and record statistics for GAIN regional office on a daily, monthly and quarterly basis
    • Schedules patient appointments utilizing scheduling tools and resources.
    • Participates in Care Conferences
3. Provide Administrative Support :
    • Maintains medical /clinical staff and administrative schedules and calendars.
  • Types correspondence, manuscripts and/or others documents.
  • Transcribes letters and patient notes as needed for integrated care team and facilitates in clinical computer systems.
  • Prepares and distributes routine reports.
  • Serve as a minute taker for all team meetings
  • Schedule rooms and shared spaces to facilitate appointments
  • Submit purchase orders of office and medical supplies to central purchase and maintain office and medical supplies accordingly

4. Performs other support duties :
  • Attends and participates in case discussion and program planning in scheduled team conferences
  • Collaborates with other teams and departments to ensure an integrated, holistic service is provided
  • Participates in organizational surveys and services evaluations

Education: :
  • Ontario Secondary School Diploma (OSSD) or equivalent
  • Certification in health/clinical administration or acceptable equivalent

Experience and Skills: :
  • Must be able to read, write and speak English fluently
  • Proficiency in other languages desired (Armenian, Cantonese, Greek, Mandarin, Tamil, or Urdu)
  • Knowledge of Medical Terminology
  • 1-3 years\xe2\x80\x99 experience working in the health care field
  • Strong experience with computer systems required, including web-based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access
  • Experience with electronic medical record or other medical documentation software
  • Ability to maintain privacy of information
  • Knowledge of administration, organizational practices, procedures and standards
