Nature and Scope





Reporting directly to the Senior Manager, Student Life, this position is primarily responsible for developing, implementing, and executing professional and reliable events to the students and guests of Algonquin College. The Events Programmer will create and implement a well-rounded annual program of events and activities that will foster the social and cultural needs of Algonquin students. The program must contribute to the Students' Association's strategic vision of creating a prideful and spirited campus while upholding the professional image of the SA and respecting the impact programming has on the Algonquin community. Additionally, the Events Programmer must support, supervise, and execute an event-filled orientation program, which welcomes students to Algonquin College.

Job Duties




Develop and implement a well-rounded annual program of events by sourcing various appropriate entertainers, speakers, and event concepts to respond to expressed student interest. Assist in developing inclusive programming responsive to the needs of diverse student groups (BIPOC, 2SLGBTQ+, international, mature, and commuter students), ensuring events meet SA standards across Ottawa and Pembroke. Collaborate with the Senior Manager, Student Life to develop and deliver orientation programs each September, January, and May that engage and welcome students Ensure all events comply with SA and College policies, insurance requirements, accessibility standards, and legal obligations. Prepare detailed budget proposals, monitor expenses, reconcile event accounts, and provide monthly budget status reports to the Senior Manager. Moreover, ensure that each event is planned in a financially responsible manner. Present final event/activity plans to Sr. Manager, Student Life on an ongoing basis. Oversee all aspects of event planning, production, and execution in accordance with Students' Association policy, including contracting, ticketing, marketing (with the SA Communications and Marketing Department), artist and media relations, staffing, financial settlement, and event security. Collaborate with the Clubs & Communities Coordinator by mentoring club executives on event execution, assisting with training, and helping deliver large-scale club showcase events. Ensure open and clear communication between departments at all times, and verify that events adhere to all policies and standards for each area. Work with students and staff in residence, academic programs, and outside organizations to create new events and activities (acting as an enabler for groups seeking to host activities on campus). Mentor and delegate responsibilities to volunteers, the Events Assistant, and the Events Associate, ensuring tasks are completed to SA standards. Represent the Student Life department on committees or working groups as delegated by the Senior Manager. Communicate and coordinate each event with all stakeholders by ensuring open and clear two-way communication with all parties of an event. Use tools like Backstage and Basecamp to ensure information is always up-to-date. Work directly with the Communications & Marketing departments to request all event-related advertising, including poster design, digital assets, video promotions, and radio ads. All program and event marketing strategies are to be developed tastefully, protecting the Students' Association image. Ensure SA branding is used appropriately and that guests are aware that the Students' Association is responsible for presenting the events or services planned by the Events Programmer. Ensure event information is accurate and up to date across all SA digital platforms, including the website and social media channels. Collect, analyze, and report post-event evaluations, attendance data, and student feedback, highlighting actionable insights to drive continuous improvement. Coordinate all event-related financial transactions in accordance with Accounting Department procedures, including processing and disbursing funds, maintaining the SA events credit card, petty cash, and preparing invoices and cheque requisitions. Rearrange or move furniture and fixtures to accommodate staging/event space for events when required. Other duties as assigned.

Desired Skills and Qualifications




The ideal candidate would have a Diploma or a combination of education and related experience in Events Management. Strong communication skills, both written and verbal. Minimum 4 years of experience working in significant event promotion (experience programming in the College/University market) is an asset. Experience and specialized knowledge in booking talent, contract negotiations, and event management. Experience in budgeting and financial management. Knowledge and experience with Audio/Video equipment set up and use. Schedule that allows work to be done outside regular business hours. G-Class Driver's License will be seen as an asset. The ability to lift at least 40lbs will be an asset.



Compensation




This position is part of CUPE Local 5154 - pay level 6 ($35.73- $39.90) Salary increase pending new CBA This position is a full-time position, 35 hours a week provided the employer schedule does not exceed seventy (70) hours over a two (2) week pay period. * The Algonquin Students' Association offers a comprehensive benefits package to its employees.
