This is a leadership-based administrative position responsible for managing both
360 Wellness
and
360 Podiatry
services on-site. The ideal candidate is organized, confident working independently, and capable of creating an exceptional experience for both patients and practitioners.
Our management team operates virtually from Edmonton, so this position requires someone highly proactive and able to manage operations with minimal supervision.
Key Responsibilities
Front Desk & Patient Care
Greet patients and manage the front desk in a friendly, professional manner.
Schedule, confirm, and manage appointments using JaneApp.
Handle incoming calls, direct billing, and insurance inquiries accurately.
Process payments, manage accounts receivable, and reconcile daily transactions.
Communicate professionally with doctors' offices, insurers, and other clinics.
Maintain strict confidentiality and compliance with privacy regulations.
Administrative & Operational Duties
Oversee daily clinic operations for both chiropractic and podiatry services.
Maintain accurate patient records in JaneApp and ensure efficient patient flow.
Manage billing, reconciliation, and financial documentation.
Perform opening and closing duties, maintain clinic cleanliness, and uphold standards.
Order medical and office supplies weekly and track inventory levels.
Report equipment issues promptly and log maintenance tasks.
Support other 360 Wellness clinics with occasional administrative or marketing tasks.
Marketing, Community Outreach & Social Media
Create and post daily social media content
to promote clinic services, events, and health tips.
Engage with followers
and help grow the clinic's online presence and community reputation.
Market to surrounding areas
to build local awareness and establish relationships with nearby businesses, medical offices, and community organizations.
Collaborate with management on marketing initiatives, promotions, and community events.
Conduct patient callbacks and manage recall lists to encourage rebooking.
Assist with interviews and onboarding for new staff as needed.
Training & Expectations
All new hires will complete a comprehensive in-house training program covering:
JaneApp Operations
- booking, billing, reconciliation, and patient management.
Insurance & Direct Billing
- Alberta Health Care, Blue Cross, WCB, MVA, and Provider Connect.
Cashouts & Accounts Receivable
- daily balancing and discrepancy resolution.
Clinic Operations
- opening/closing procedures, supply management, and policy compliance.
Patient Relations
- managing complaints, cancellations, and recall lists with professionalism.
Marketing & Social Media
- maintaining consistent brand presence and local engagement.

Qualifications
1-2 years of experience in a medical, chiropractic, or podiatry office preferred.
Proficiency with
JaneApp
and electronic medical record systems.
Knowledge of
direct billing
and
insurance procedures

Familiarity with
social media management
and basic marketing principles.
Excellent communication, organization, and multitasking skills.
Ability to work independently with minimal supervision.
Job Type: Full-time
Pay: $18.00-$25.00 per hour
Expected hours: 30 - 40 per week
