Job Purpose

The Sales and Events Coordinator is responsible for selling the Event Centre and other multi-purpose rooms (MPRs), hospitalityservices and food and beverage products to achieverevenuegoals forthe Club Regent Event Centre andCasino MPRs. The position is responsibleforshortandlongterm coordinating, planning, communicating and implementation of all assigned files and willbethe contactperson forallmajor events and functions, supporting Hospitality and Entertainment Services.


Job Responsibilities

Conduct site tours with prospective clients, selling benefits of facility and products and addressing concerns in an effort to close sales. Assess customer requirements in relation to the facility as well as policy and procedures, and seek ways to meet needs while adhering to same. Host consultation meetings with client on event planning. Document detailed requirements regarding catering, audiovisual, room set-up, bar service, etc, as well as add-ons such as concert tickets. Develop events tools (questions, signage, and materials), procedures, rules and regulations etc. Coordinate and set-up Ticketmaster ticketing. Liaise with Food & Beverage Services to develop customized promotional initiatives, customized menu proposals for clients, etc. and to ensure all relevant issues are addressed (pricing, smooth delivery of initiatives, etc.). Plan, coordinate and facilitate weekly Banquet Event Order (BEO) meetings. Prepare custom event proposal and quote for client. Negotiate event costs and budget with clients, using sales leveraging to close sales. Prepare RFP and Budget plan for management review and approval. Coordinate and facilitate event meetings with client (internal or external) and internal departments. Create contracts to close sales. Generate sales leads via cold calls, walk-ins, referrals and telephone inquiries. Coordinate full sales cycles, from lead to close. Arrange custom menu requests and gaming & vehicle rentals. Coordinate entertainment rider related details provided by the Senior Manager, Entertainment & Procurement. Support the coordination of the main stage entertainment needs. Support the coordination of entertainment and, when required, support the entertainment buying for clubs, lounges, events, etc. Utilize floor plan software to design room configuration layouts to meet client's request for food, beverage and other services. Ensure internal/external client bookings are properly entered into the venue management system and status of bookings updated. Ensure all opportunities are logged and status is reported. Ensure all contracts and client-related documents are accurate and processed in a timely manner. Ensure the Banquet Event Orders (BEOs) are created and all event details are accurately entered into the venue management system prior to signing off on the contracts, etc. Review billing information for accuracy and approve for submission to Finance. Invoice clients and access or adjust as required. Process client deposits and payments. Provide post-event follow up and resolve client satisfaction issues through service and sales leveraging. Participate in trade shows and other community related sales activities. Create and manage a "sales leads" database. Create relevant sales reports and tracking tools. Actively participate in related industry associations and organizations to develop network of clients and industry peers. Participate in weekly meetings to review productivity and discuss future initiatives. Coordinate involvement in sponsored events in conjunction with Marketing and Community Support. Other related duties as assigned.

Primary Qualifications

Completion of a Grade XII High School diploma or G.E.D. equivalent. Formal courses in tourism/hospitality or sales. A minimum of two years' experience in event planning, event coordination and sales. Experience in sales/marketing, with an emphasis on the food and beverage industry, is an asset. Demonstrated experience working with catered events. Experience working with current desktop productivity tools such as Microsoft Office (Word, Excel and Outlook). Exceptional communication and interpersonal skills and strong analytical and organizational skills. The core competencies for this position include achieving quality results, adaptability/managing change, communication, customer service, decision making and problem solving, integrity and building trust, teamwork and cooperation and valuing diversity. These competencies are deemed important for the success of the position and organization. Satisfactory work performance in the preceding twelve (12) months is a requirement. Attendance rate will be a factor in the pre-screening process.

Secondary Qualifications


----------------------------


A designation in Event Management, through the Canadian Tourism Human Resource Council, is an asset. Experience working with a broad range of clients from community organizations and major businesses is an asset. Bilingual French/English language skills are an asset.

Vacation
