This position provides administrative support to the Manger of Emergency Systems and Chief of Emergency communications. You will be responsible for providing a broad range of clerical and administrative services in support of the day-today operations of the area. While working with specific sections this position will also work collectively with the mindset of contribution to and meeting with overall needs of the Branch. Provide reception and clerical support to Emergency Communications Services and Emergency Systems Unit
Answer security door intercom for admittance into the building/office
Maintain station login of visitors to the office and create records as required
Respond to telephone, email and/or in person inquiries, and take messages
Sending and receiving mail via interoffice courier as well as shipping (domestic and international) packages as requested
Scan and distribute bulletins, notices, job postings and announcements for the section
Organize and attend meetings, coordination and distribution of agendas, document meetings using effective minute taking techniques
Attend meetings, and prepare agenda & minutes. once approved, post or email and distribute it.
Update Shared Drive accordingly .
data entry, filing, faxing, scanning, and photocopying.
support replacing/repairing headsets or radios requests
Data entry for cell phones and laptops and create a Remedy ticket.
Branch SOP/SOG process and tracking.
Back up coverages to other admin staff.
Other related duties as required
Qualifications:
Completion of the 12th school grade including business subjects related to word and information processing OR completion of an appropriate certificate program from an approved business school or college A minimum of 2 years of diversified word and information processing experience. Google Application Skills (Slides, Gmail, Calendar, Google Meet etc.) Attention to detail Considerable knowledge of general office management Knowledge of City of Edmonton policies and procedures Able to prioritize workload, be a self-starter, and focus on making contributions to the team General knowledge of Fire Rescue Services Ability to make decisions in accordance with established policies and procedures Experience working with SAP, SIRE, POSSE data entering, research, Remedy Ticket, EIAM Excellent time management and verbal and written communication skills Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position, there may be a cost associated with this requirement
