About the Role: Are you a warm, welcoming, and organized individual with a passion for healthcare? We are seeking a Frontline Coordinator to serve as the first point of contact for our patients and visitors. In this vital role, you will provide a professional introduction to our practice, ensuring that patients feel as cared for at the front desk as they do in the exam room. You\'ll manage incoming inquiries, assist with clinic operations, and ensure our practitioners have the information they need. Key Responsibilities: Reception:
Greet patients by name and ensure they feel personally acknowledged.
Register patients for parking, if they qualify.
Notify practitioners of patient arrivals and relay special messages (e.g., running late).
Update patient demographics in the EMR as needed.
Maintain a clean and orderly waiting area, accommodating special needs.
Manage all deliveries and pickups (lab, FedEx, UPS, etc.).
Ensure signage is in good repair and updated as needed.
Intake:
Answer and direct incoming phone calls.
Manage Pomelo messages and emails, directing them to the appropriate person.
Link incoming faxes to the correct patient or practitioner according to clinic rules.
Scan and link documents as necessary.
Registration:
Set up new patient demographics in the EMR, provide appropriate paperwork, and assist with completion.
Connect patients to Pomelo, Fullscript, and our website, troubleshooting as needed.
Assist with registration for My Alberta Health service and eventually ConnectCare.
Point of Sale:
Accept payment for supplements and other materials procured from the clinic.
Marketing and Sales:
Become an expert on our practice and programs, answering questions and serving as a first contact for interested individuals.
Procurement, Inventory, and Supplies:
Monitor and order medical and office supplies, ensuring they are stocked in all areas.
Manage inventory and stock of supplements and other products.
Collect, clean, and package medical instruments for autoclaving, and coordinate with the autoclave service.
Liaison with Building Maintenance:
Notify building management about needed repairs.
Communicate special cleaning needs to building maintenance staff.
Other Tasks:
Perform additional tasks as requested or required, as appropriate and able.
Qualifications:
Experience in a client service position with a friendly and bright personality.
Proven talent for providing personalized and compassionate service and care.
Exceptional attention to detail and multitasking abilities.
Excellent interpersonal, written, and oral communication skills.
Experience using an EMR (MedAccess), Teams, and Outlook is a plus; strong aptitude for learning these systems is essential.

Terms:
On-site position: 8 AM to 4:30 PM daily (half-hour unpaid lunch).
