About This Role:



HTS has an exciting opportunity for a

Front Office Coordinator (maternity leave coverage from August 25, 2025- June 2026)

to join our team. Hours for this role will be an 8.5-hour shift 9:30am - 6pm, Monday - Friday.

The Front Office Coordinator is pivotal in supporting the day to day operations of the school and serves as the first point of contact for students, parents, and visitors. This role operates at the front office reception desk and provides reliable and proessional administrative support to a broad range of departments within the School. Your warm and enthusiastic personality and attention to detail will provide a positive and welcoming presence while juggling and managing priorities.

Some of the key responsibilities include:

Oversee and prioritize attendance / safe arrival procedure for students including late arrivals; Provide administrative support to the Senior Leadership Team, Division Heads, faculty, and front office staff including printing, photocopying, preparing correspondence, labels, etc.; Provides coordination, assistance and administrative support with student and school events as requested; Track and assign on-call requests on a daily basis. Assign supply teachers for any gaps and requests that come into the on-call process; Receive and distribute inbound/outbound mail and courier including dropping off at Canada Post; Annual preparation of student medical binders and on-going support of emergency evacuations and drills. Organize busing and act as a point of contact between the busing company and the school for troubleshooting.

Excellent communication skills (written and verbal) with a high attention to detail; Excellent organizational and problem solving skills; Commitment to a customer-service mindset, including respect for school, faculty, staff, student and parent confidentiality and the ability to demonstrate discretion on sensitive matters; Agility and flexibility to meet changing work priorities and needs; Post-secondary Degree or Diploma in business administration or equivalent; Experience in an administrative role; Reliable transportation will be required for Canada Post drop offs; A highly motivated, reliable and seasoned professional who is not afraid of handling ambiguous situations.
