We are seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our office. The ideal candidate will have strong clerical skills, excellent communication abilities, and experience with office management systems. Prior experience in medical or dental offices is a plus, but not required. Duties
Greet visitors and clients warmly, providing a positive first impression
Manage multi-line phone systems, directing calls efficiently and professionally
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry with accuracy into various software platforms such as QuickBooks and office management systems
Handle filing, record keeping, and document organization to ensure easy retrieval of information
Assist with billing, bookkeeping, and basic bookkeeping tasks as needed
Support administrative tasks including proofreading documents, managing correspondence, and preparing reports
Maintain a clean and organized front desk area to promote a welcoming environment
Provide customer support by addressing inquiries promptly and professionally
Support medical or dental office operations by managing patient records and appointment scheduling when applicable
Qualifications
Proven clerical or administrative experience, preferably in a medical or dental setting
Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry applications
Experience with QuickBooks or similar bookkeeping software is desirable
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong phone etiquette and customer service skills for handling inquiries via multi-line phone systems
Attention to detail for proofreading documents and managing records accurately
Ability to type quickly and accurately for efficient data entry
Previous experience in front desk or reception roles is preferred but not mandatory
Knowledge of office procedures including filing, record keeping, and appointment scheduling
This position requires a professional demeanor, excellent communication skills, and the ability to manage multiple responsibilities efficiently. The successful candidate will be instrumental in creating a positive experience for clients while supporting the daily operations of our office.
