. This role is essential in providing excellent patient service, maintaining smooth office operations, and ensuring all documentation is accurate and compliant with industry standards.
Key Responsibilities:
Patient Relations:
Greet and check in patients in a warm and professional manner.
Schedule, confirm, and manage appointments for physiotherapy, massage, chiropractic, and other rehab services.
Handle patient inquiries in person, by phone, and by email.
Administrative Duties:
Manage clinic phone lines, voicemail, and correspondence efficiently.
Maintain organized and confidential patient records (paper and electronic).
Process payments, issue receipts, and balance daily transactions.
Manage faxing, scanning, and filing of clinical and legal documents.
MVA & Insurance Documentation:
Complete and process
OCF forms (OCF-3, OCF-18, OCF-23, OCF-24, etc.)
accurately and on time.
Communicate with
insurance companies
,
lawyers
, and
medical assessors
regarding patient claims.
Track treatment plans, billing submissions, and approvals for MVA and WSIB clients.
Ensure compliance with insurance and privacy regulations (HCAI and PHIPA).
Team Support:
Coordinate with therapists and other staff to ensure seamless patient flow.
Assist with administrative reports, data entry, and follow-up communications as required.
Support clinic marketing and patient retention initiatives when needed.
Qualifications:
Minimum
2 years of experience
in a rehabilitation office setting (required).
Strong knowledge of MVA processes, OCF forms, and HCAI submissions
(required).
Experience
liaising with law firms and insurance adjusters
(required).
Proficiency in
MS Office
,
Universal
, or other EMR systems.
Excellent
communication

, and
multitasking
skills.
Professional demeanor with a

Strong attention to detail and confidentiality.
Assets (Preferred):
Experience in
physiotherapy or multidisciplinary rehab

WSIB
