Job Description



As a Fengate ambassador, the Front Desk Coordinator will be a key player in the day-to-day office coordination. The successful candidate will be responsible for managing the front desk as the first point of contact for all guests and employees and will therefore be the face of our firm in our Toronto office. The ideal candidate will be professional, punctual, a quick learner with a best in-class customer service attitude and a high sense of ownership in their work.
KEY RESPONSIBILITIES
Front Desk/Office Admin

  • Greeting external guests and colleagues with a positive and helpful attitude, and maintaining a presentable main entrance area
  • Managing incoming calls and directing them to the appropriate staff members
  • Coordinate logistics for internal and external meetings \xe2\x80\x93 scheduling, setting up boardroom before and after meeting, boardroom calendar management, coordinate catering requests
  • Oversee distribution of incoming/outgoing mail and deliveries in a timely and time sensitive manner
  • Maintain office and kitchen inventory/servicing
  • Work with building Property Management to address and oversee repairs and maintenance
  • Organize and coordinate office operations, addressing any pertinent issues to the Director, Office Operations
  • Maintain filing system, contact database, employee list, and inventory
  • Support HR and IT with onboarding new employees
  • Assist with the coordination and execution on in-office events
  • Collaborate with all business units to provide in-office support
  • Performing ad-hoc administrative duties as needed
REPORTING LINES: This position reports to the Director, Office Operations. Requirements KEY QUALIFICATIONS:
  • College graduate or equivalent
  • 1-3 years\' experience in office coordination/assistance
  • Proven ability to manage multiple tasks/activities in a dynamic fast-paced environment
  • Experience with Microsoft Office, and specifically with Word and Excel
  • Excellent interpersonal and communication skills
  • Aptitude for learning new software and systems
  • High degree of attention to detail
  • Strong problem-solving, sound decision making and good judgement
  • Ability to work with minimal supervision

LOCATION: This position will be based out of the Toronto office and requires the individual to be in the office five (5) days a week. Office hours are Mon-Thurs 8:30 am to 5 pm, Fri 8:30 am to 4:00pm.
