Job Overview


We are seeking a dynamic and experienced Front Reception Administrative Assistant to join our team. This dual-role position combines traditional front desk responsibilities with modern social media management, making it perfect for a professional who thrives in a fast-paced, multi-faceted environment. The ideal candidate will serve as the welcoming face of our organization while maintaining our digital presence across social media platforms.

Key Responsibilities



Reception & Administrative Duties



Serve as the primary point of contact for visitors, clients, and phone inquiries

Manage multi-line phone system, directing calls and taking detailed messages

Greet and assist visitors with professionalism and warmth

Schedule appointments and manage executive calendars

Handle incoming and outgoing mail, packages, and deliveries

Maintain reception area organization and professional appearance

Coordinate meeting room bookings and setup

Provide general administrative support to Executive Team

Manage office supplies inventory and vendor relationships

Social Media Management



Develop, create, and publish engaging content across multiple social media platforms

Monitor social media channels and respond to comments, messages, and inquiries

Analyze social media metrics and prepare monthly performance reports

Collaborate with marketing team on campaigns and promotional content

Stay current with social media trends and platform updates

Maintain brand consistency across all digital channels

Schedule posts using social media management tools

Engage with followers and build online community presence

Required Qualifications



Minimum 5 years of experience

in administrative support and reception duties

Advanced Microsoft Office Suite skills

(Word, Excel, PowerPoint, Outlook)

o Advanced Excel functions including pivot tables, VLOOKUP, and data analysis

o Professional document creation and formatting in Word

o Presentation design and delivery using PowerPoint

Proven experience managing social media accounts for business purposes

Excellent written and verbal communication skills

Strong organizational abilities and attention to detail

Professional phone etiquette and customer service skills

Ability to multitask effectively in a busy environment

Discretion when handling confidential information

Preferred Qualifications



Experience with social media management platforms.

Knowledge of graphic design software (Canva, Adobe)

Familiarity with CRM systems and database management

Basic photography and video editing skills

Technical Skills Required



Advanced proficiency in Microsoft Excel (formulas, pivot tables, data visualization)

Advanced proficiency Microsoft Word (mail merge, templates, advanced formatting)

Proficient in Microsoft PowerPoint (design, animation, presentation delivery)

Strong understanding of social media platforms (Facebook, Instagram, LinkedIn, Twitter)

Experience with office equipment (multi-line phones, printers, scanners)

Familiarity with cloud-based file sharing systems
