About the Position



This is a critical middle management position and an important support position, located at our head office located in Surrey, BC. It consists of two important elements.

Using your investigative skills, you will carefully research to quickly determine the next steps to locate shipments that were mis-loaded, perhaps mis-delivered and/or lost, then to quickly recover and deliver to the proper consignee.

The second component is claims prevention, i.e. steps required to prevent mis-directed shipments, damages or shortages from re-occurring.

Description & Responsibilities



Acts quickly to locate missing shipments, determines necessary action plan and effectively communicates with department managers

Manages claims file from start to finish and continuously improves the company's performance in this area

Ensures procedures related to claims and the Overages, Shortages and Damages (OS&D) department are maintained and assessed on an ongoing basis to ensure quick file turnaround

Manages the sale of salvage and disposition of all claims per company requirements

Maintains accurate inventory in relation to all shipments as it relates to freight claims

Ensures constant follow up and works to resolve any outstanding issues in a timely manner

Responsible for internal and external correspondence; maintain all routine administrative functions in an orderly and timely manner; ensure timelines are met by prioritizing workload

Develop, maintain and update claims policy, procedure and training manual

Works closely with terminal and operations manager providing feedback on OS&D procedures relating to the dock/warehouse reports and other terminal documentation

Review statistics and runs reports to identify problem accounts or commodities and ensure senior management and related staff are provided accurate information

Issue directives to terminals and letters to customers

Prioritizes claims prevention; works with management to investigate root causes and develop methodologies to mitigate and eliminate freight claims.

Skills and Personal Attributes


Excellent interpersonal and communication skills (written and verbal)

Systematic approach, multi-tasking, time management skills - you must we well organized to be successful in this position.

Good computer skills, including excellent keyboarding skills for speed and accuracy

Interprets standard operating procedures and practices and identifies workflow inefficiencies for improvement, problem solving skills

Attention to detail and accuracy

Team member with a sense of urgency

Experience


Experience in the transportation industry preferred

Experience with AS400 and TruckMate operating system is an asset

Fast learner with excellent time management and prioritization skills; ability to coordinate many tasks simultaneously without losing focus on what is most important

Experience with MS Office Suite, Imaging Software

Ability to research, analyze and communicate in the best interests of the company

Educational Requirements



Minimum high school diploma complemented by 3 years of progressive administrative experience in transportation or equivalent.

Post-secondary education preferred
