Position Summary
The Program Manager position with the WCS Canada Forests, Peatlands, and Climate Change (FPCC) Program is responsible for providing financial and operational management for the program and for providing support for research and fieldwork tasks for FPCC-led projects to a team of research staff based in locations across Canada, including field offices and home offices.
The ideal candidate is highly motivated, a proactive problem-solver, and has demonstrable experience with the management and administration of the financial and operational functions of an organization with adherence to internal policy and external regulations. They will demonstrate tact, diplomacy, and discretion in determining which issues may become contentious and taking appropriate action.
Position Objectives
  • Provide effective financial management for the FPCC program.
  • Provide fundraising and grant management support to the FPCC program.
  • Provide administrative and operational support to the FPCC program.
  • Oversee the management of the FPCC program equipment inventory.
  • Provide administrative and logistical support for various research and fieldwork tasks.
  • Serve as the primary point of contact with the central management, finance, fundraising, and communication teams that operate from the WCS Canada head office.

Principal Responsibilities FPCC Program Administration and Management In close coordination with the FPCC Program Director and key staff in the WCS Canada Finance and Operations Team, and the Fundraising Team:
  • Manage and maintain the FPCC program budget.
  • Manage FPCC program spending against grants ensuring grant compliance, including the correct allocation of funds to payroll and other program expenses.
  • Prepare and submit monthly expense reports with supporting documentation for all FPCC Program staff, ensuring all expenses are compliant with internal budgetary controls, travel, and procurement policies.
  • Create and generate financial reports as needed for the FPCC program.
  • Manage and maintain grant and fundraising files for the FPCC program.
  • Track and administer grant and funder deadlines, including grant applications, grant reports, contract reports/deadlines, and permit reports/renewals for the FPCC program.
  • Manage and coordinate service providers, including the preparation and management of service and consulting contracts, and renewals and negotiations.
  • Coordinate on the above tasks as needed for shared grants and partnership projects with the finance and administration leads for other national and regional WCS Canada programs.
FPCC Program Research Project Support In close coordination with the FPCC Program Director and team:
  • Provide procurement and purchasing support to FPCC program staff.
  • Oversee management of the FPCC program equipment inventory.
  • Organize and manage shared FPCC program files and data (e.g. word, pdfs, excel, geospatial data and maps, photos), ensuring secure and appropriate storage of new and raw data and regular backups of processed data.
  • Coordinate meeting, workshop, and event logistics as required.
  • Coordinate travel arrangements in support of meetings and fieldwork as required.
  • Monitor and manage the FPCC program shared email account.
  • Coordinate and collate monthly FPCC program updates, and other program communications for internal and external newsletters and highlights.
  • Provide support to FPCC staff on various communications tasks, including managing media requests, updates to the WCS Canada website content, and providing information and photos to the WCS Canada Communications team.
  • Support WCS Canada\xe2\x80\x99s goal of transforming WCS Canada\xe2\x80\x99s conservation practice through reconciliation with Indigenous Peoples.
  • Contribute to creating a diverse, equitable and inclusive workplace that promotes engagement and belonging.
  • Other program support as required.

Required Qualifications/Skills/Experience
  • 5+ years of experience in comparable support position.
  • Experience with financial management including the development and management of annual budgets, the preparation of monthly expense reports, and the creation of financial reports.
  • Experience managing legal documents, including contracts with service providers and funder agreements.
  • Experience providing administrative support including data management and inventory.
  • Experience with effectively communicating complex financial information.
  • Experience working with a variety of database tools and administrative platforms.
  • Demonstrated ability to work independently in support of a team of remote colleagues.
  • Outstanding organizational skills and exceptional attention to detail.
  • Demonstrated critical thinking and problem-solving skills.
  • Strong time-management skills and adaptability when facing competing priorities.
  • Intermediate level of experience with MS Office, specifically Word, Excel and PowerPoint including moderate to advanced Excel skills including use of advanced formulas, data summaries etc.
  • Strong verbal and written communication skills.

Other Desirable Qualifications/Skills/Experience
  • Experience working in the non-for-profit or charitable sector.
  • Work experience or an educational background related to nature, conservation, natural resource management, or related field.
  • Comfortable in a digital environment and open to learning new applications and systems.
  • Passionate about our mission to save wildlife and wild places in Canada.
