Summary
A Flight Crew Dispatcher is the point of contact between the operations department and the operational aircrew working off the main base, subbases or at remote camps, mine sites where there is at least one and possibly more aircraft performing specialized functions for the client. Co-ordinates and schedules all crewing and related activity by GSH aircrew. Arranges and alters travel and roster through direct liaison with clients, GSH aircrew and operations staff. Monitors and records all activity to ensure compliance with client and GSH processes, procedures, and standards. Ensures all activities are reviewed for safety compliance and that those activities achieve the higher standard and are undertaken efficiently and profitably for the client. Their main duties include logging each call, providing answers to questions by retrieving information from the necessary departments and supervising the crews\xe2\x80\x99 routes to prioritize and organize their schedules. Position Profile: \xc2\xb7 Maintain a listing of all on-duty and off-duty aircrew (flight and maintenance) staff and general understanding of their capabilities and qualification. \xc2\xb7 Maintaining an open channel of communication with Operations and Maintenance Managers. \xc2\xb7 Ensure assigned aircrew meets the client standards for minimum aircrew qualifications. \xc2\xb7 Ensure to communicate effectively with flight crews on rotation schedules and keeping flight crew schedules updated daily. \xc2\xb7 Ensure the aircrew travel assignments are coordinated through GSH Travel and this information is communicated to the crew and the client representative at the inbound site. \xc2\xb7 Track travel requests and follow up. \xc2\xb7 Relaying information to and from work crews, supervisors. \xc2\xb7 Use telephones or text messages to contact employees. \xc2\xb7 Speak with supervisors or customers to resolve problems. \xc2\xb7 Prepare daily work such as schedules. \xc2\xb7 Work with Maintenance Managers for their AME schedules/ crewing needs \xc2\xb7 Manage crew housing and predict when overflow housing/ hotels are required prior to arrivals \xc2\xb7 Monthly crew housing updates to Human Resources. \xc2\xb7 Crew Movements sent out daily to Ops team. \xc2\xb7 Update Tech records on engineers and pilots on machines \xc2\xb7 Update Travel Inserts as required \xc2\xb7 Contact new employees prior to arrival and answer any questions regarding crew housing \xc2\xb7 Working with Operations Assistant as needed. \xc2\xb7 Weekly monitor HOC/ Pilot/ AME holiday requests in portal and update Crew Movement sheet \xc2\xb7 Develops a strong working relationship with client\xe2\x80\x99s local community. \xc2\xb7 Scheduling and dispatching crews to appropriate locations according to predetermined schedules, customer requests or immediate needs. \xc2\xb7 Answer incoming phone calls to schedule services and address enquiries and concerns from internal and external customers regarding their scheduled jobs. \xc2\xb7 Gather detailed information and get a basic overview of the job request. Relate these details to the Operations department that will address the job. Service dispatchers prioritize service requests and schedule jobs accordingly to address the most urgent customer needs as quickly as possible. \xc2\xb7 Dispatch service crews to scheduled jobs. \xc2\xb7 Monitor the routes for crews so they get to their destinations by the most efficient means possible. This involves staying up to date on any issues that may arise to detail the jobs. \xc2\xb7 Addressing any emergency situations crews may encounter and relaying information to management. \xc2\xb7 Liaising with various teams for bill backs, daily and monthly reports and maintaining timely and accurate bill back system, for all airline tickets, expense claims, weekly reports, etc. \xc2\xb7 Other Duties as assigned by the Director of Operations. Skills and Knowledge:

  • High School diploma.
  • Aviation experience is an asset.
  • Excellent customer service skills to speak with customers (internal and external), answer incoming phone calls, manage customer problems, and address customer complaints.
  • Strong verbal communication skills to relay information to crews and answer customer questions and concerns and use strong written communication skills to record the essential details of every job.
  • Good time management skills are critical. The dispatcher needs to prioritize jobs and schedule appointments so jobs can be completed within the given timelines.
  • Proficient in Window Office suite applications and ability to learn internal software systems.
  • Basic computer and data entry skills to log information into digital dispatch systems and customer files.
  • Good multitasking abilities to handle several phone calls at once and juggle multiple job assignments in a single workday.
  • Leadership skills are essential for service dispatchers, who must direct service crews and advise them on any job changes or issues.
  • Confident leader who is self-motivated, innovative and results-orientated.
  • Experience in Logistical Coordination.
  • Remote camp experience, utilizing helicopters is an asseT.
