The purpose of this role is to ensure that the daily operations at Flex Academy run smoothly, efficiently and in alignment with our departmental and organizational goals. This position oversees administrative tasks, systems, and resources as well as manages the office staff team as a whole.
Duties and Responsibilities
Help develop and sustain a healthy school culture in accordance with the HCOS Mission and Values and with the KCCS statement of faith
Meet and collaborate with the school leadership team and other school divisions in relation to general school operations and events
Manage day-to-day operations of the Office department, including workflows, deadlines, and supports
Ensure proper staffing and management of the Flex Academy Office Team and infrastructure. Hire and train employees. Schedule and assign employees; conduct staff evaluations
Drive process improvement, professional development, and staff onboarding related to office systems
Resolve issues that arise with parents, students and other schools
Work with the facilities and other operational departments within HCOS & KCCS to coordinate timely completion of cross-departmental projects that relate to office & operations
Manage and ensure compliance with all reporting, audits, assessments, and inspections related to student enrollment, funding, and academic records.
Oversee the accuracy and effectiveness of student-related systems, including accounts, tech access, re-enrollment, and intake processes.
Manage and support internal and external school-wide communications & marketing including newsletters, social media, website updates, etc.
Support the organization, preparation, and execution of events
We are looking for someone with the following Qualifications & Skills:
Previous office experience an asset

Technologically proficient in Microsoft Office (Excel, Word and Outlook), Google Drive, Zoom, etc.
First Aid Training or willing to receive First Aid Training
Ability to collaborate with families and staff in an appropriate and professional manner
Ability to manage, change, and adapt to varied workloads
Ability to be discreet and handle confidential information sensitively
Excellent communication skills
Proactive, systems thinking, relationship and solutions oriented
Have a strong attention to detail and organizational skills
