The Fleet Manager oversees all aspects associated with fleet operations. Collaborating with external firms, they strategically choose partners to streamline leasing contracts, handle vehicle acquisition, manage upfitting, oversee vehicle maintenance, monitor fuel consumption, and more. Their goal is to optimize fleet value while minimizing risk throughout the lifecycle of our vehicles.
In this position, the chosen candidate will closely collaborate with internal stakeholders including Operations, Finance, HR, and IT, as well as external suppliers. The primary objective is to enhance processes, develop robust sourcing strategies, achieve cost savings and anticipate future needs. Strategic agility and analytical prowess are essential for maximizing procurement effectiveness within designated categories and enhancing overall value.
DUTIES AND RESPONSIBILITIES
Acquiring fleet vehicles based on assessments of required specifications relative to roles and geographic requirements, as well as actioning returns promptly to maintain a good fleet to budget ratio.
Monitors the upfitting and decal processes to maximize delivery of new vehicles.
Work with external leasing company to ensure company compliance and collect monthly reports for the maintenance and fueling of vehicles.
Assign appropriate vehicle level to new hires based on their position so that they can properly perform their tasks.
Track & collect driver forms and documents from new hires to assure that they adhere to company policies.
Monitor Fleet Management software, Licenses, toll roads, parking, speeding and various types of tickets received by employees that use the company vehicles so that we do not infringe on any laws.
Track + trace fleet, vehicle usage, mileage, and gas card and maintenance records as required to ensure our records are up to date.
Manages vendors and service providers relationship regarding fleet operations.
Handle Insurance and registration for the vehicles to make sure they are road ready.
Ensure full compliance and adherence to all regulations and safety standards to ensure that safety is top priority.
Build and maintain positive rapport with professional drivers as a contribution to driver retention
Develop Implement and maintain systematic, management policies and procedures, analytical and results-based methods for savings, monitoring supplier's performance, and sourcing effectiveness; communicate these results to appropriate stakeholders as needed, for increased effectiveness.
Develop and implement risk management strategies alongside our Health & Safety team.
Set up vehicles using GPS installers & monitoring system as well as deactivating vehicles on the GPS monitoring company to keep track of our fleet. Assign GPS/ELD's (Electronic logging device) to vehicles and manage GPS orders.
Collaborate with other departments to optimize fleet utilization.
Maintain operational excellence using professional communication internally and externally

EXPERIENCE:
Strong knowledge of fleet management principles and best practices
Proficiency in using fleet management software systems
In-depth knowledge of the transportation industry
In-depth knowledge of transportation safety laws, guidelines, and regulations
Awareness of Highway Traffic Act including Hours of Service, TDG, weight restrictions, etc.
Experience dealing with GPS monitoring software's.
EDUCATION/ TRAINING:
Bachelor's degree in administration or logistic
Minimum of 3 years' experience in a fleet management
