Reporting to the Academic Director of the Centre of Media Technology and Democracy, the finance officer develop and provide expert recommendations and services related to financial management of the Media Ecosystem Observatory (MEO) funds. Will work with a large number of internal and external stakeholders.

Provides expertise and advice for the Centre related to the financial management of research grants and contracts. Analyze, develop and , implement recommendations aligned to support the mission of the Centre.

Primary Responsibilities:

1) Business operations

Plan, manage and oversee various projects and activities of the Centre for Media, Technology and Democracy such as staff retreats and weekly project status calls

Plan, develop and implement administrative processes, including reporting on new and existing projects.

Responsible for the final review of documentation and operations of projects for internal McGill and funder reports. Review submissions for quality, accuracy and compliance.

Work in collaboration with academic and administrative leaders to monitor and confirm project plans and expectations

Collaborate with academic and administrative leaders to ensure project remains on track, milestones are reached, and deliverables are received Develops and advises on strategic solutions and adjustments to project plans.

Participate in our leadership meetings, and actively collaborate in the direction and growth of the Centre.

2) Finance and grants

Identifies bottlenecks and administrative delays and works with a finance officer to resolve them

Develops project and Centre budgets, fund allocations and forecasts, monitors funds

Develop and oversee a record keeping system for the Centre.

Manages the HR budget. Prepares multi-year budget forecasts for submission and recommend budget allocations.

Establishes and maintains budget and carries out bookkeeping function for projects

Participate in budgetary planning for existing and new projects and recommends budget allocations according to internal needs, project deliverables and donor commitments.

Oversee overall data collection and delivers the financial/budgetary portions and administrative approvals of new project grant proposals including appropriate signatures, appendices, and budgets

Develop and deliver program reports to our partners and funders.

3) Supervision and HR

Directly supervise a team of professional and clerical staff. Supervise the Administrative Coordinator to oversee administration of travel and events at the Centre . Oversee the Communications & Events Administrator and ensure events are managed appropriately.

Manage some human resources activities of the Centre for both academic and administrative staff including keeping track of research assistant hours spent on projects and deliverables,

Participate with HR in the recruitment of new staff, attend interview and make recommendations about candidates.

Manage the performance of employees by setting goals and objectives, complete Performance Dialogue forms.

Organize and manage workloads of administrative and support staff.

Approve absences and vacation.

Verify the work and ensure that work is accurate and complete.

Manage onboarding and offboarding processes for new hires and departures

Assign computer equipment, space, computer, equipment, email account, etc. for new hires.

Interpret various Collective Agreements and ensures that the rule and regulations of each agreement are adhered to.

Other Qualifying Skills and/or Abilities

Extensive knowledge of accounting and financial management principles. Ability to administer funds and prepare detailed budgets. Knowledge of McGill fund types (or other University) including experience in financial research administration. Demonstrated experience managing teams and serving as a facilitator and motivator. Proven success in facilitating and maintaining strong, consistent, and effective communication with diverse audience and interacting with various levels of academics and administrative staff. Service-oriented with excellent customer service skills and the ability to establish productive working relationships quickly. Excellent analytical and problem-solving skills. Advanced proficiency with computerized applications including spreadsheets, databases, word-processing software, Banner FIS, Crystal reports. Excellent communication skills in both English and French.

Annual Salary: (MPEX Grade 05) $69,430.00 - $86,790.00 - $104,150.00
