Position Summary:
Reporting to the Manager Finance and Reporting, this position is responsible for providing daily financial, payroll and administrative support services for all ongoing, short-term and one-time projects within the Finance Department. The incumbent will also be responsible for maintaining current and up-to-date financial documentation through an organized system of filing.
Responsibilities and Duties: (but not limited to)
Assists in the preparation, coordination, consolidation and analysis of the Indus' annual budget/plan, forecasts, funding proposals budget, monthly monitoring and cash flow planning.
Support the preparation of budgets, forecasts, and variance analysis.
Monitor funding agreements and ensure compliance with funder reporting requirements.
Assist in developing financial models to support decision-making.
Conduct trend analysis and identify financial risks and opportunities.
Prepare reports for management, Board of Directors, and external stakeholders.
Collaborate with program managers to provide financial insights and recommendations.
Support annual audit and liaise with external auditors as needed.
Ensure accuracy, timeliness, and confidentiality of financial information.
Knowledge of Banking Function and bank reconciliation
Verification of bi-weekly payroll including timecard and post-payroll reporting.
Assist in the year-end audit preparation, and assist auditors as required during the audit process.
Assist in developing and maintaining timely and accurate financial statements and reports that are appropriate for the users and in accordance with GAAP.
Reconciling statutory filings - withholding payments (CPP, EI), income tax, EHT.
Month end functions, including analysis of accounts.
Periodic reporting of HST Rebate claims and annual returns for EHT & HST.
Co-ordinate Bingo fundraising activities, file monthly reports and annual license renewal process.
Maintain an up-to-date and accurate filing system for all financial and payroll documents, ensuring their confidentiality and security.
Participate in staff and team meetings, and professional development opportunities as required.
Assist on projects and assignments and other duties as assigned.
Analyze and reconcile statistical information against respective program targets and activities. Work with program staff for explanations for variances.
Assist Manager Finance and Reporting for the month-end closing by preparing and post journal entries for month end adjustments, accruals and, account and claim reconciliations and review journal entries for assigned staff.
Reconcile bank statements, reconcile credit card statements, investigate variances and take corrective action.
Prepare monthly General Ledger reconciliations.
Prepare annual returns for EHT & HST.
Facilitate and complete month-end and year-end close process.
Ensure sufficient funds are available in the bank to meet on-going operations.
Facilitate and complete month-end and year-end close process.
Prepare working papers/documents/reports/schedules as required for external audit and other statutory audits.
Participate in financial standards setting and in the forecast process.
Support the ongoing improvement of the finance & payroll systems; assist in project testing & implementation as required.
Upgrade skills regularly to meet the changing needs of the department and organization.
Participate in staff and team meetings, and professional development opportunities as required.
Qualifications and Skills:
Degree in Accounting, Payroll, or equivalent, with at least two years of accounting/payroll experience.
Knowledge of GAAP and experience in accounting practices and procedures as it applies to a not-for-profit/charitable organization is an asset.
Experience with Sage Intacct, Sage300 and ADP software a definite asset.
Experience with record keeping processes for tracking revenue and expenditure is required.
High computer proficiency in MS Office (Advance/ Moderate Excel & Word), accounting, spreadsheet and database software and reporting tools, email and internet.
Team player, with the ability to communicate effectively with both financial and non-financial staff and stakeholders.
Demonstrated flexibility and excellent coordination, analytical, problem solving and decision-making skills.
Excellent organizational and time management skills; pays close attention to detail and time lines in a fast-paced, changing environment.
Work style that thrives on initiative and collaborating in a team environment.
Able to work independently when required, while maintaining confidentiality of information.
Excellent English; oral and written communication skills.
Ability to work flexible hours including evenings, weekends and to work from any one of Indus's work-sites.
Valid driver's license and access to a reliable vehicle.
