Biospective is looking for a dedicated and detail-oriented
Finance & HR Assistant
to join our team.
In this role, you will provide day-to-day support across Finance, Human Resources, and Administrative operations. From assisting with recruitment and onboarding to coordinating purchases and handling internal communications, you'll help ensure our internal processes run smoothly and efficiently.
This position offers the opportunity to work closely with cross-functional teams, gain hands-on experience in a dynamic scientific environment, and grow your skills in both finance and HR.
Responsibilities
:
Finance
Support with financial documentation including insurance renewal processes, government processes (e.g., salary equity exercise)
Coordinate purchases, track deliveries, and liaise with suppliers
Human Resources
Assist with recruitment: post jobs, screening, and schedule coordination
Assist the HR Lead with onboarding/offboarding activities: prepare documentation, coordinate equipment, complete checklists, etc.
Provide support for staff training programs, performance reviews, and company-wide events
Handle general staff inquiries, such as employment confirmation letters, and providing information regarding benefit plans and HR policies
Help and assist HR Lead in other activities as needed
Administrative Support
Handle incoming calls and emails in both French and English
Translate internal and external communications
Schedule meetings and prepare agendas
Maintain organized filing systems and assist with formatting documents
Contribute to day-to-day office management and ad-hoc projects
Work closely with team members to improve processes and ensure seamless operations.
Skills and Requirements:
Minimum of 2 years of relevant experience
Bachelor's degree in Human Resources, Business Administration, Finance, or a related field
Advanced capabilities with Excel and Word
Excellent written and verbal communication skills, both French and English
Exceptional organizational skills with the ability to maintain a structured filing system
Meticulous attention to detail to ensure accuracy in document handling and record-keeping
Ability to handle sensitive information with discretion and maintain confidentiality
Ability to handle multiple tasks simultaneously, shift priorities, and remain calm under pressure
Ability to work independently and collaboratively
Assets
Previous experience in a cross-functional support role
Takes initiative to solve problems and streamline processes
Positive attitude and willingness to learn
Familiarity with accounting systems (e.g., QuickBooks, Sage), HRIS platforms, and project management tools (e.g., Confluence, Jira).
Working Conditions:
This hybrid position involves regular weekly office days (2-3 days) between the different company locations in Montreal.

Responsabilites :
Finances
Apporter un soutien dans la gestion de la documentation financiere, incluant les renouvellements d'assurances et les processus gouvernementaux (ex. : exercice d'equite salariale)
Coordonner les achats, faire le suivi des livraisons et assurer la communication avec les fournisseurs
Ressources humaines
Participer au recrutement : affichage de postes, tri de candidatures et coordination des horaires d'entrevue
Assister la responsable RH dans les activites d'accueil et de depart : preparation de la documentation, coordination du materiel, suivi des listes de verification, etc.
Appuyer les programmes de formation, les evaluations de performance et les evenements d'entreprise
Repondre aux demandes generales du personnel (lettres d'emploi, informations sur les avantages sociaux, politiques RH, etc.)
Soutenir la responsable RH dans d'autres activites au besoin
Soutien administratif
Gerer les appels et courriels entrants en francais et en anglais
Traduire les communications internes et externes
Planifier des reunions et preparer les ordres du jour
Maintenir des dossiers organises et aider a la mise en page de documents
Contribuer a la gestion quotidienne du bureau et a divers projets ponctuels
Collaborer avec les membres de l'equipe pour ameliorer les processus et assurer le bon deroulement des operations
Exigences et competences requises
:
Minimum de 2 ans d'experience pertinente
Baccalaureat en ressources humaines, administration des affaires, finances ou domaine connexe
Maitrise avancee d'Excel et de Word
Excellentes competences en communication orale et ecrite en francais et en anglais
Excellentes competences organisationnelles et capacite a maintenir un systeme de classement structure
Grand souci du detail pour assurer l'exactitude dans la gestion et l'archivage des documents
Capacite a traiter des informations sensibles avec discretion et a maintenir la confidentialite
Capacite a gerer plusieurs taches a la fois, a etablir des priorites et a garder son calme sous pression
Capacite a travailler de maniere autonome et en collaboration avec les autres
Atouts

Experience precedente dans un role de soutien interfonctionnel
Fait preuve d'initiative pour resoudre les problemes et optimiser les processus
Attitude positive et desir d'apprendre

Conditions de travail:
Ce poste hybride implique des deplacements reguliers et hebdomadaires au bureau (2-3 jours semaine) sur les differents sites de travail de la compagnie a Montreal.
