Position Summary
Reporting to the Vice President, Corporate Finance, the Finance Coordinator provides high-level organizational support to the Finance function as well as administrative support to the SVP, Finance & CFO, the VP, Corporate Finance, and the VP, Business Transformation enabling these senior leaders to focus on strategic priorities and overall financial leadership of the organization.
This role is responsible for supporting financial and executive communications, compiling and analyzing financial and operational data, conducting ad-hoc research, preparing and coordinating confidential documents, and ensuring the senior leaders are well-prepared for meetings, presentations, and key decisions. Acting as a trusted partner, the Finance Coordinator exercises sound judgment, professionalism, and discretion while liaising with internal and external stakeholders. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and is adept at balancing competing priorities while maintaining the highest level of confidentiality and efficiency.
The expected hiring salary range for this position is CAD $72,600 - $88,800. The actual base salary offered is determined based on the successful candidate's relevant experience, skills and competencies and will consider internal equity.
Position Responsibilities
Finance function support and direct administrative support to:

  • SVP, Finance & CFO
  • VP, Corporate Finance
  • Compile and validate financial and operational data and assist with the analysis of key financial metrics and KPIs.
  • Assist with the creation of visually engaging presentations of financial data and the development of high-quality communication materials for leadership audiences.
  • Conduct ad-hoc research using internal and external data and information sources, including market data, and synthesize into organized data sets and concise briefing notes.
  • Ensure CFO is well prepared in advance of Board, Audit Committee, ELT, GLC, GFF, Leadership Team meetings and Investor trips. Organize materials and manage action items.
  • Compilation and reproduction of Audit, Risk & Finance Committee meeting materials in an accurate manner and distribute to members within the specified deadline.
  • Assist with CFO's time management, ensuring calendar, email, contacts and filing is kept up to date. Exercise judgement in responding to general inquires while preserving confidentiality at all times.
  • Arrange accurate, cost effective and timely travel arrangements.
  • Ensure effective communication channels are in place between CFO and internal teams and individuals.
  • Arrange and attend Finance Leadership Team meetings.
  • Proactive in trying to improve processes in everyday workflow, maintain delegate access to vacation and time-off requests and complete monthly visa expenses.
  • Maintain Delegation of Authority for Vancouver departments, securing appropriate signatures and ensuring all appropriate people receive in a timely manner and file is kept up to date for Audit purposes. Proactively monitor when organizational changes occur.
Support to: VP, Business Transformation
  • Assist with the development of presentations, memos, and other communication materials for a range of audiences - including ELT and Board.
  • Conduct ad-hoc research on industry trends and peer company practices and ad-hoc analysis on business performance.
  • Maintain a central repository of business performance information and project plans; work cross-functionally to ensure information is continually up-to-date.
  • Work with the VP to facilitate regular business performance processes, working cross functionally, so that we are able to track progress, measure performance and work closely with Finance to measure value realization through earnings and cash flow.
  • Set-up meetings including booking rooms, equipment, catering and preparation of meeting materials.
  • Arrange accurate, cost effective and timely travel arrangements.
  • Other miscellaneous ad-hoc administrative duties including expense reporting and invoice payments.
Supporting Global Finance Forum (GFF)
  • Organize and attend quarterly GFF meetings.
  • Set up meetings (phone, in-person, Video-conferencing), book meeting rooms & organize catering.
  • Co-ordinate & prepare agendas. Gather pre-reading documents and presentations and issue in advance of meetings.
  • Provide support in producing and maintaining the GFF business plan and meeting action items.
  • Maintain and update the GFF Sharepoint page.
  • For off-site meetings, identify and decide on hotels, meeting space, dinner venues and team building. Coordinate travel logistics and visas. Work with regional admin to coordinate when meeting is held in one of the regional sites.
General Administration
  • Act as a proactive team member of the administration team, attending all meetings and ensure excellent communication and co-ordination.
  • Ensure good communication between departments and share workload during peak times.
  • Be a team player and must be pro-active and take initiative with respect to creating new systems or amending existing systems to improve overall efficiency of the Department.
  • Contribute to the overall Vancouver office admin team and provide cover for reception as needed.
  • Attend Health & Safety meetings and actively promote Responsible care principles by example.

Position Qualifications
  • 3+ years experience in a similar role, ideally in a Finance environment.
  • Working knowledge of the financial and investment markets, comfortable with financial terminology, reports, budgets, and spreadsheets.
  • Highly organized and thoughtful with analytical and quantitative problem-solving skills.
  • Excellent verbal and written communication skills to create executive level materials with high attention to detail.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word, Teams).
  • Skilled in managing complex calendars, travel arrangements, and scheduling across time zones.
  • Strong interpersonal skills and ability to build relationships.
  • Demonstrated ability to work with senior leaders and cross-functional teams.
  • Proven ability to work under pressure, handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
