Potlotek First Nation is seeking a Finance Clerk to provide essential financial and administrative support to both the Finance and Housing Departments. This position plays a key role in maintaining accurate financial records, processing transactions, and ensuring all financial activities comply with Potlotek's established policies, procedures, and funding requirements.
The successful candidate will be experienced in bookkeeping, detail-oriented, organized, and able to work collaboratively across departments. This role will involve processing payables and receivables, assisting with payroll and reporting, tracking housing budgets and expenditures, and preparing documentation to support audits and financial reviews. A background in bookkeeping or accounting is strongly preferred, with the ability to maintain confidentiality and accuracy in all financial dealings.
RESPONSIBILITIES AND DUTIES
Process accounts payable, receivable, payroll entries, and other disbursements in a timely and accurate manner.
Maintain up-to-date financial ledgers, reconciliations, and digital and physical filing systems.
Prepare deposits, invoices, purchase orders, and financial correspondence as required.
Track and record all housing-related transactions, including project expenditures, tenant payments, and funding allocations.
Reconcile monthly and annual accounts and prepare supporting documentation for audits and external reviews.
Work closely with the Housing Department to reconcile budgets, process payments, and monitor program funding.
Assist with year-end closing, financial audits, and funding submissions.
Liaise with staff, vendors, and external partners to ensure accurate and efficient financial transactions.
Follow Potlotek First Nation's financial and procurement policies, ensuring transparency and accountability.
Maintain confidentiality of all financial and personnel information.
Demonstrate professionalism, accuracy, and integrity in all financial communications and documentation.
Perform other related duties as assigned to support the overall operations of the Finance and Housing Departments.
QUALIFICATIONS
Minimum completion of a post-secondary diploma or certificate in Accounting, Business Administration, or a related field. Equivalent combinations of education and relevant work experience may be considered.
Minimum of two years of experience in financial bookkeeping, accounting, or finance administration.
Experience working within a First Nation, non-profit organization, or government-funded environment is considered an asset.
Proficient in accounting software such as Sage Intaact, Simply Accounting or similar programs, with the ability to enter, reconcile, and analyze data accurately.
Skilled in Microsoft Office Suite, particularly Excel (formulas, pivot tables, data entry, and reporting).
Strong organizational and time management skills, with the ability to prioritize multiple deadlines.
Excellent analytical and problem-solving abilities, with attention to detail and accuracy in financial recordkeeping.
Effective verbal and written communication skills, with the ability to interact professionally with staff, community members, and external agencies.
Demonstrated confidentiality, integrity, and sound judgment in handling sensitive information.
Familiarity with Potlotek First Nation's financial policies, or the ability to learn and apply them effectively.
Knowledge of CMHC and ISC housing program funding structures, reporting requirements, and related financial tracking processes is considered a strong asset.
Understanding of auditing, budgeting, and reporting principles in a public-sector or community-based environment is an advantage.
