Title: Finance Associate

Reports To: Finance Manager

Position Summary

The Finance Associate supports the day-to-day financial operations of Western Canada Theatre (WCT). Reporting to the Finance Manager, this role ensures accuracy, timeliness, and transparency in financial record-keeping and processing. The Finance Associate works closely with the Finance Manager and other staff to maintain strong financial systems, support budgeting and reporting, and uphold compliance with accounting standards and organizational policies. This position is ideal for someone with strong attention to detail, a collaborative mindset, and an interest in supporting the financial sustainability of the arts.

Key Responsibilities



Accounting & Record-Keeping

Record daily financial transactions, including accounts payable, accounts receivable, and journal entries. Process invoices, staff reimbursements, and vendor payments in accordance with WCT policies. Ensure donations, ticketing revenue, and other income are accurately recorded and reconciled. Maintain orderly digital and physical financial records for audits and compliance.
Payroll & Benefits Support

Assist the Finance Manager with payroll preparation and related reporting. Track staff timesheets, overtime, and vacation accruals. Support the administration of employee benefits and expense reimbursements.
Budgeting & Reporting

Support the Finance Manager in preparing monthly financial statements and variance reports. Provide accurate and timely financial data for departmental and board reporting. Assist in monitoring budgets and flagging variances for review.
Compliance & Internal Controls

Support adherence to WCT's financial policies, internal controls, and industry best practices. Assist in preparation for year-end audits and liaise with external auditors as needed. Ensure financial practices are compliant with CRA and other regulatory requirements.

Qualifications and Assets



Qualifications

Post-secondary education in accounting, finance, business administration, or a related field; or equivalent experience. 1-3 years of experience in bookkeeping, accounting, or finance administration. Proficiency with Quickbooks and Microsoft Excel. Strong organizational skills with accuracy and attention to detail. Ability to handle sensitive and confidential information with discretion. Strong time-management skills and ability to balance multiple priorities.
Assets

Experience working in the non-profit or arts sector. Familiarity with payroll systems and processes. Knowledge of CRA charitable regulations and non-profit financial reporting. Experience with ApprovalMax, Plooto, or other financial management tools. Interest in the performing arts and enthusiasm for supporting WCT's mission.
