Position Summary
Reporting to the Manager of Finance within the International Department, the Finance Assistant is responsible for reviewing and recording financial information and processing payments for Agents. Specific duties include recording and retrieving financial entries from the financial database; reviewing agent agreements to make sure they are current; reviewing invoices and receipts; checking and correcting the accounting computations; running reports and performing other routine accounting activities and administrative duties. Responsibilities

  • Receives commission invoices from agents or admissions officers and assistants, and checks the invoices for accuracy
  • Contacts agent when errors, issues or omissions arise
  • Loads payment information to Banner
  • Checks if the agent is the registered agent for each student, and makes sure the agent has not already been paid for that student in the given semester
  • Reviews student information to make sure they are registered, full-time status and that all fees have been paid for the semester the agent is claiming commission for
  • Ensures agents banking information is complete
  • Sends invoices to Accounting for payment, and investigate reasons for returned invoices
  • Reviews all transactions on a quarterly basis and reconciles expenses to the financial system
  • Produces a report each quarter to accrue outstanding invoices and estimate expenses to year end
  • Acts as a back-up to the Finance Officer by processing wire transfers and other documents, processing purchase requisitions, and processing and prepare financial and business forms
  • Acts as a back-up during vacation periods and provides office coverage for other departmental support staff when necessary
  • Other duties as assigned, or required to perform the job


Qualifications/Experience
  • Minimum three (3) year college diploma or degree in Business Administration, Accounting or Financial Management, or an equivalent combination of education and experience
  • Minimum three (3) years relevant experience in an office administration or financial role
  • Demonstrated experience maintaining Excel spreadsheets with financial data
  • Demonstrated proficiency with Microsoft Word and Outlook
  • Demonstrated numerical skills and basic knowledge of accounting principles
  • Strong attention to detail and accuracy to reduce, detect and correct errors
  • Excellent interpersonal, communication and judgment skills to deal with suppliers and other College staffs
  • Strong organizational, analytical and problem-solving skills
  • Proven organizational skills to balance the demands and deadlines of the position
  • Able to maintain a high degree of confidentiality
  • Proven problem-solving and analytical skills
