Currently, the City of Belleville has an exciting opportunity for a highly motivated, strategic, and dynamic individuals to join our Transportation and Operations Services Department as a File Scanning Assistant.

PURPOSE AND SCOPE:



The File Scanning Assistant will support the digitization and organization of departmental documents.



KEY DUTIES AND RESPONSIBILITIES:

Perform document scanning using scanning equipment to convert paper documents into digital format. Provide quality control for the process by ensuring that scanned documents are legible and accurately captured, adhering to established standards. Perform data entry to input relevant metadata and indexing information for scanned documents into digital databases or document management systems. Help with file organization by assisting in organizing and categorizing scanned files for easy retrieval and reference. Follow established procedures and guidelines for document handling, scanning, and storage. Work closely with departmental staff to prioritize scanning tasks and ensure project objectives are met. Perform routine maintenance and troubleshooting on scanning equipment as needed. Perform all tasks and responsibilities through the lens of Equity, Diversity, Inclusion, ensuring commitment to fairness, representation, accessibility and respect for diverse perspectives and cultures in all aspects of work. QUALIFICATIONS



MINIMUM EDUCATION:

Completion of a High School Diploma or equivalent. Satisfactory Criminal Record Check ("CRC") Screening prior to commencing work at the City of Belleville.

MINIMUM EXPERIENCE:

Six (6) months' experience working in an office environment.

ASSET EXPERIENCE

Previous experience with SharePoint. Previous experience in digitization or file scanning. Previous experience or knowledge of the TOMRMS system for document management. Strong attention to detail and accuracy in data entry and document scanning. Experience with organizational and time management. Ability to work independently and collaboratively.
