To add to our expertise, we are recruiting for a Field Administrative Assistant for our project in Springbrook, AB reporting to our Red Deer branch. As our Field Administrative Assistant, you will provide comprehensive support to the Branch Manager, Project Manager, Field Supervisors and Field Personnel with a high level of organization, time management and confidentiality. This is a full-time temporary position. The project is expected to run from November 2025 until Fall 2026.

This task list is ever evolving and may grow to incorporate more administrative or safety related tasks. The acceptable candidate will be responsible for:

Ensure field personnel have access to all required documents, equipment/PPE and information as needed on site. Organizes, prepares, and attends meetings, preps agendas, transcribes minutes and distributes in a timely manner, including Toolbox Meetings based on site tasks/events Entering & verify field staff's timesheets Prep and submit expense reports & fuel receipts to the office for payment Facilitate monthly safety meeting agendas and Health & Safety Committee meetings (when applicable) Assist with filing and printing safety paperwork and reporting monthly HSE stats internally Assist Project Manager and Site Supervisors with various duties Schedules training for all members of the Field Operations team Maintains and tracks field staff safety training certificates and notifies staff of expired training Coordinates site onboarding with new hires Booking hotels/events if needed Maintain cleanliness of site office Ordering of Office Supplies and relevant PPE for site Administration of Shipping and Receiving / Tracking Project Info Assists with confidential information and record keeping fostering interaction with HR and payroll departments for refining documentation including but not limited to submit payroll and New Hire Orientation Forms. Ensures timely flow of information; liaise between head office and field staff. Assist Project Manager & Field Supervisors with HSE documentation, including Site Inspections, Vehicle Inspections, Safety Orientation. Assist the Safety Manager & Field Supervisors with investigations and identifying risks.
Ideal candidates will have:

1-2 years of administrative expertise and knowledge of office procedures Previous experience on a construction site is an asset Health & Safety Administration certification or experience would be an asset Excellent computer skills with an advanced knowledge of the Microsoft Office suite Ability to handle sensitive information with discretion and confidentiality. Highly resourceful team-player, with the ability to also be extremely effective independently Strong organizational skills, communication skills and time management that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to details. Superb written and verbal communication skills Are a self-starter with ability to organize and multitask Ability to conduct research and create reports or presentations.

Job Types: Full-time, Fixed term contract
Contract length: 12 months

Pay: $23.00-$25.00 per hour

Expected hours: 40 - 44 per week
