Infyniti Scales is seeking a highly organized and detail-oriented professional to manage its warehouse and logistics operations and support the company's growing wholesale distribution business. This role is responsible for overseeing inventory control and warehouse organization, preparing inventory reports and operational statistics to help streamline purchasing and re-ordering decisions, and planning and executing accurate, timely order picking, packing, and shipping processes. The successful candidate will implement procedures to reduce shipping damage and customer returns, analyze return trends, and manage shipment loss or damage claims under cargo insurance. The role also involves negotiating and implementing cost-effective logistics solutions, coordinating with the accounting team on customer credit approvals and documentation, maintaining complete records for purchasing, receiving, shipping, and proof of delivery, and identifying slow-moving inventory in collaboration with ownership and sales teams. In addition, the position oversees warehouse safety protocols, facility services, and equipment maintenance, while coordinating with air and ocean authorities to ensure efficient and compliant delivery of shipments.
Responsibilities
Organize and manage warehouse facility for inventory control.
Prepare and share reports and statistics related to inventory and help owners streamlining re-ordering timelines and purchasing process.
Plan and implement customer order shipping process. Make sure timely order picking and shipping.
Study and implement process for accurate order picking and proper packing methods eliminating damages during shipping.
Control and manage customer order returns. Study the reasons for customer merchandise returns and implement process to minimise returns.
Review, negotiate and implement cost effective logistic methods required for reducing company expenses and at the same time meeting customer requirements.
Work together with the accounting team on customer credit control making sure to have proper credit approval before releasing customer orders.
Review, implement and manage proper logistic documentation for record keeping for proof of deliveries (POD).
Help identifying slow moving inventory, discuss with owners and work with sales team to reduce such inventory.
Review purchase order requirements and coordinate with management on inventory on hand and sales projections based on sales history.
Handle walk-in customers with their orders and timely pick and pack for instore pick-up.
Manage showroom inventory, display and organising replenishments. Timely update on new merchandise arriving and put them on display.
Manage shipment loss and damage claims with insurance company under cargo insurance coverage.
Proper record keeping all mandatory documents related to purchasing/receiving inventory, order picking and shipping required by the accountants.
Review and implement proper safety protocols in the warehouse.
Manage administrative facility services such as cleaning, maintenance, parking, safety inspections, security, landscaping and snow removal
Manage and control of maintenance, repairs and service cost control of machinery, equipment and electrical systems.
Communication and coordination with the appropriate authorities (air or ocean) for the coordination of shipping deliveries.
Qualifications
A Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, or a closely related field is required, with demonstrated application of formal business and operational principles in a wholesale distribution environment.
Minimum of three (3) years of direct, hands-on experience within the Canadian vaping, cannabis-adjacent, and smoking accessories wholesale or distribution industry, including in-depth familiarity with federal and provincial regulatory requirements, excise obligations, stamping duties, product compliance, and record-keeping standards applicable to regulated consumer goods.
Minimum of three (3) years of practical experience managing cargo insurance, shipment loss, and damage claims, including preparing documentation, coordinating with carriers and insurers, and implementing preventative controls to reduce loss exposure in high-volume distribution operations.
Minimum of three (3) years of experience working with warehouse management systems (WMS) in a fast-paced wholesale environment, including inventory tracking, order picking accuracy controls, receiving processes, and reconciliation of physical and system inventory.
Some sales and customer handling experience in a similar industry.
Demonstrated experience managing warehouse and showroom operations concurrently, including direct interaction with walk-in wholesale customers, order preparation, order pickup coordination, and resolution of order-related issues in a customer-facing distribution setting.
Proven ability to analyze inventory performance, identify slow-moving or non-performing SKUs, and collaborate with ownership and sales teams to implement liquidation, bundling, or promotional strategies aligned with wholesale business objectives.
Experience negotiating and managing logistics providers (couriers, freight forwarders, air and ocean carriers), with a strong track record of implementing cost-effective shipping solutions while meeting strict delivery timelines and customer service expectations.
Strong working knowledge of health and safety requirements applicable to warehouse and facility operations, including implementation of safety protocols, coordination of inspections, and oversight of facility services and equipment maintenance.
Excellent written and verbal communication skills in English, with the ability to prepare clear operational reports, compliance documentation, and shipping records for internal management, accounting, and external authorities.
