Summary
'We are seeking a dedicated Facility, Warehouse, & Fleet Coordinator to join Mirage Pools Services. This role is vital in ensuring the smooth operation of our facility, supporting our team in delivering exceptional pool services. Based in Burlington, ON, the Facility, Warehouse, & Fleet Coordinator will play a key part in maintaining our high standards of customer service and operational efficiency.'
Primary Responsibilities:
Facility Management
Oversee daily maintenance and operational efficiency of all company facilities.
Monitor building systems (HVAC, plumbing, electrical) and coordinate routine maintenance with landlords or vendors
Secure all facilities at the end of each workday including locking gates/doors and activating security systems.
Coordinate waste and recycling pickup schedules.
Perform weekly janitorial duties in washrooms, kitchens, hallways and warehouse areas.
Maintain cleanliness and organization of all warehouses and tool storage areas.
Plan and oversee space utilization, layout improvements and facility upgrades.
Respond promptly to facility-related issues and implement effective solutions.
Warehouse & Inventory Operations
Warehouse Management
Organize warehouse layout for optimal space and workflow.
Supervise receiving, storage, and distribution of goods for retail and service teams
Verify packing slips, inspect incoming products, and process orders in CRM System.
Maintain inventory control for tools, equipment, and supplies issued to service teams.
Review supplier invoices and input data into CRM System (RB Controls) for accounts payable.
Enforce warehouse safety protocols and best practices.
Maintain warehouse equipment (e.g. forklifts, pump trucks) and conduct regular audits.
Inventory Control
Maintain accurate records of all inventory across facilities, vehicles, and job sites.
Conduct inventory cycle counts and reconcile discrepancies.
Track and report all defective, expired, or unusable items for proper disposal.
Order, receive, and issue materials to service and construction teams with documentation
Monitor off-site and in-transit inventory levels
Analyze inventory movement and recommend stocking level based on usage trends.
Manage special order parts and ensure accurate pricing for profitability.
Fleet Management
Oversee company vehicles, ensuring regular maintenance, inspections and cleanliness.
Perform basic vehicle checks (fluids, lights, wipers, tire pressure); coordinate mechanical servicing with certified providers.
Manage vehicle intake/return processes and seasonal changeovers.
Maintain records of vehicle usage, fuel consumption, and service history.
Conduct daily vehicle inspections and ensure staff maintain vehicle cleanliness.
Ensure compliance with transportation regulations and licensing.
Monitor driver safety and performance; implement corrective actions as needed.
Track fleet-related expenses and support budget management.
Conduct forklift inspections and ensure safe operation.
Service Crew Support
Coordinate with the Service Supervisor / Operations Manager to prepare crews for daily dispatch.
Review next-day schedules in CRM System (RB Controls) and stage required materials.
Inspect returning vehicles, assist with restocking, and fulfill inventory requests.
Logistics & Coordination
Collaborate with Admin and Service teams to ensure readiness of products and materials.
Support start-of-day and end-of-day process with management to ensure smooth crew operations.
Coordinate with suppliers and transport partners to streamline logistics.
Manage product returns, RGA processes, and restocking of returned items.
Track shipments and resolve delivery issues.
Optimize warehouse-to-fleet operations to reduce downtime.
Tool & Equipment Maintenance
Maintain and service gas-powered and electric equipment
Clean and allocate hand tools to teams while maintaining inventory control
Support seasonal vehicle changeovers and equipment loading.
Compliance & Reporting
Maintain records for facility, fleet, and inventory operations
Conduct safety inspection and implement corrective actions.
Prepare reports on inventory, fleet performance and facility maintenance.
Develop and enforce SOPs across all areas of responsibility
Health & Safety
Actively participate in the Joint Health and Safety Committee (JHSC)
Ensure staff follow all health and safety protocols on company property.
Train staff on equipment usage and safety procedures.
Operate forklifts safely and ensure compliance with safety standards.
Ensure adherence to all health, safety, and environmental regulations.
Additional Duties
Fill liquid chlorine containers daily for field and retail use
Clean cartridge filters using approved methods.
Assist retail and office staff with general tasks and special projects.
Support metal recycling initiatives and track returns for financial optimization.
Assist with seasonal pool closings as needed
Required Qualifications:

Demonstrated experience managing and maximizing physical and digital inventory control systems.

Proficiency in Microsoft Office programs (Excel, Word, Outlook, PowerPoint).
Willingness and ability to become proficient in our CRM system.
Excellent written, oral, and verbal communication skills.

Working Conditions:
This role requires standing for extended periods and frequent lifting of up to 50lbs.
Exposure to pool-related chemicals; proper safety procedures must be followed at all times to minimize risk.
Work is primarily conducted in a warehouse, facility and outdoor yard environment, with occasional support in retail and office areas.
Flexible work schedule required, including evenings and weekends during peak seasons (e.g. April - June, September - October).
Participation in special projects and seasonal tasks, including pool closings and facility maintenance.
Must be comfortable working in a fast-paced, team-oriented environment with shifting priorities.
