This position will be located in the Montreal head office.
As part of the Corporate Properties team, you will contribute to the strategic initiatives that align with the company's long-term goals for our Head Office and Regional Office properties. The primary focus of the Facilities Services Coordinator role is the tactical execution of our program, on-going maintenance of our space, and exemplary day-to-day client service, ensuring the most effective use of resources, assets, and operational efficiencies. Working closely with our Design, Leasing, and Strategy/Change Management teams you will contribute to and execute on the vision of the future of the premises.
What you will do:
Schedule and coordinate project and relocation activities for Head Office and Regional Offices with our internal/external stakeholder partners (design, leasing, property management/landlords, IT, MAC vendors, etc.)
Responsible for supervision of, and determining resourcing of move, add, change (MAC) vendors as required to support daily and project activities
Maintain tenant spaces at our Montreal Head Office through refresh and repair of premises, recommending improvements
Contribute to managing expense budgets, ensure vendors are following national contract rates, and timely processing of PO's/payment
Provide exemplary customer service by supporting business requirements and timely completion of tenant requests
Conduct meetings with internal and external stakeholder partners, communicating with all levels in the organization including senior and executive management
Coordinate with internal/external stakeholders in the event of an emergency, crisis, or incident response
What you will bring:
Post secondary education (FMP is an asset)
Bilingualism (fluent in French and English) required, as the position will regularly serve our clients with English and French-speaking need
Ability to work in high-paced environment, with conflicting timelines, and being able to manage shifting priorities
Confident in problem solving and decision-making capabilities
Ability to work in a team and understand the working towards the same end goal is critical for project success
Excellent organization and communication skills, including feeling comfortable communicating and meeting with people in all levels of the organization
Ability to relay concepts, processes, and work assignments to external vendors
Technical skills (Microsoft applications, online service request portal, facilities database)
An understanding of how to read and interpret basic floorplans would be an asset
Available to work 5 days a week in-office, and to work weekends/overtime/on-call as needed
