Job Description

Central Alberta Women's Emergency Shelter (CAWES) builds bridges to a better future for women and children impacted by violence. CAWES is seeking a highly motivated, welcoming, and approachable individual to manage the facility functions at CAWES. The Facility Manager is a key role in directly supporting all functional areas of CAWES. Working closely with the Executive Director, this position coordinates Kitchen staff management and supervision. Housekeeping staff management and supervision as well as coordination of IT, facility and grounds maintenance.

Requirements/Qualifications:



5-10 years Facility Management Experience Basic understanding of building systems. Strong teamwork, relationship building and interpersonal skills (Team Player). Understanding of how to read building contract documents (floor plans and specifications). Hiring and supervisory experience. Capable user of MS Office Suite including Office 365 and Excel, Word. Self-directed detail orientated with the ability to problem-solve. Ability to do minor project coordination (renovations/coordination of trades). Facility Management software experience is an asset. Ability to multitask and make appropriate decisions under pressure while maintaining professionalism and confidentiality.

Key Responsibilities:



Facility management includes housekeepers, kitchen and maintenance staff, and contracted services including yard and building maintenance, phone, IT, and security systems, and office equipment.

Facility Management:

Manage and negotiate vendor contracts relating to the building and equipment. Oversee the purchasing of janitorial supplies, food, and equipment in collaboration with responsible staff. Receive specific shipments received for area and coordinate staff to distribute to appropriate location in house. Organizing invoices and submitting to Accounts Payable For any purchases for your areas of responsibility. In collaboration with the relevant staff, perform all the research, and pricing on equipment or services. Ensure that all relevant information for purchases over $5000.00 including various quotes are available to facilitate appropriate approvals.

Kitchen:

Responsible for hiring, training, scheduling, and managing the performance of the kitchen staff. Ensure a clean, and safe, environment following best practice for a commercial kitchen. Ensure staff are trained in a high level of food preparation and all related safety protocol. Ensure that proper cleaning, disinfecting and infection prevention control procedures (IPC) are followed in the food preparation areas.

Housekeeping:

Responsible for hiring, training, scheduling, and managing the performance of the Housekeeping Staff. Ensure a clean, and safe, environment following best practice for a housekeeping department. Ensure that proper cleaning and disinfecting are followed. Ensure staff are trained in a high level of environmental cleanliness. Maintenance Services: Keeping our buildings and grounds safe, and well-maintained. Facilitate maintenance repairs/requests on all areas of the property as required. Oversee and coordinate inspections by various vendors regarding regular inspections to monitor conditions and safety of building systems, grounds, and equipment. Familiarize self with and follow requirements within Operating and Maintenance (O+M) Manuals. Develop a planned maintenance schedule. Provide direction to the maintenance worker on oversight of external service providers/contractors for various services such as lawn mowing, snow removal and parking lot maintenance. Ensure Preventative and Corrective Maintenance is completed and documented according to organizational standards. Coordinate the IT systems issues with the appropriate vendor. Management of facility management software

Safety and Security:

Act as the OHS Lead to ensure a safe environment. Update and keep current the Emergency Preparedness Plan with respect to building systems and facility layout etc. Ensure the site complies with fire and safety regulations and provide regular reporting to the Executive Director. Ensure the security and personal response systems are maintained, inspected, and tested on a scheduled basis and provide regular reports to the Executive Director.

General:

Foster positive public relations with vendors and all contacts. Performs other related duties as required. Ensure all duties are performed in support of the CAWES- Vision, Mission, and Values.

Working Conditions:



This is a full-time position (40 hours per week) working at the CAWES office. The usual office hours are 8 hours per day, Monday to Friday (8:00 am - 4:30 pm). Onsite Must have a valid drivers license.

Physical Requirements:



This position requires spending significant periods of time working at a computer and talking on the telephone.
