The Okanagan Mission Hall Association ("OMCHA") is a BC registered society located in Kelowna's Lower Mission composed of Okanagan Mission Tennis, "Tennis" and the Okanagan Mission Community Hall, "Hall".
Tennis includes 6 courts available to both members and the public. Tennis includes leagues, adult and junior clinics, tournaments, social events and regular play.
Hall includes the main Hall, often fondly referred to as the Red Barn as well as the smaller Scout Hall. The Halls are rented to the public for various use cases such as Weddings, Craft Sales, Scouts, Karate, After School Care, Lions and many others. OMCHA also organizes numerous events each year such as the Christmas Santa Clause Pancake breakfast and the Easter Egg Hunt.
The Facility Manager of OMCHA plays a pivotal role in the day-to-day management and operations of the organization and can have a large impact on the local community. This role requires excellent organizational and customer services skills and the ability to manage multiple projects simultaneously. This is a hands-on job that requires wearing multiple hats at the same time. As the sole employee of the organization, the Manager needs to be able to work independently and demonstrate good judgement on behalf of the organization.
This position reports to the OMCHA Board of Director and the primary reporting contact is the OMCHA President. This position also requires coordination with the Tennis Committee, coaches, volunteers, members, vendors and customers. It is a salaried position with approximately 30 hours per week on average varying week to week and month to month. Approximately half the time will be on site with regular office hours and the other half are flexible to be either done on site or remotely.
Key Responsibilities for Hall:
Plan, execute, and oversee all aspects of events and rentals for our two OMCHA facilities, the Main Hall and Scout Hall.
Collaborate with external vendors to coordinate logistics for catering, audiovisual needs, etc.
Negotiate rental rates for programs, functions, weddings, and other events.
Arrange viewings of property.
Actively pursue opportunities to rent Main Hall and Scout Hall.
Ensure contracts are signed with all renters and updated regularly; manage deposits.
Keep an accurate rental logbook and calendar.
Plan and execute a variety of OMCHA sponsored community events from conception to completion, ensuring alignment with the Association's goals and objectives. This includes the annual Easter Egg Hunt, Breakfast with Santa, and others.
Develop and manage event budgets, track expenses.
Create and implement event marketing strategies to drive attendance and engagement.
Conduct post-event evaluations to assess success and gather feedback for future improvements.
Ensure compliance with all regulations and safety requirements related to events.
Build and maintain relationships with vendors, sponsors, and partners to enhance event offerings.
Stay updated on industry trends and best practices to continuously improve event quality and attendee experience.
Update Hall Website and message board.
Key Responsibilities for Tennis:
Maintain Tennis membership list, and online registrations for tournaments, camps and lessons.
Work with Tennis Coaches and Volunteers to facilitate tournaments, camps and lessons.
Oversee operation of the online court booking system, including guest fees.
Process annual tennis memberships and distribute fobs.
Answer tennis members' questions and inquiries as needed.
Update website with announcements, tournaments, socials etc.
Distribute newsletter and other communications.
Oversee maintenance, repair and cleanliness of the tennis facility.
Coordinate with the Tennis Committee and attend all Tennis Committee Meetings.
Other Responsibilities:
Act as the primary liaison between the Board of Directors and Members of the Association.
Attend all Board meetings and Annual General Meeting; prepare reports for meetings and provide updates on organizational progress.
Implement Board-approved strategies and policies, ensuring alignment with the Association's goals.
Maintain up-to-date records, policies, and procedures relevant to the Association's operations.
Prepare mandatory filings for the Association, according to the Societies Act*. Collaborate with the bookkeeper to manage budgets, financial reports, and ensure timely processing of payments and invoices.
Monitor cash flow, budget adherence, and provide accurate financial information to the Board.
Assist in developing annual budgets and ensure compliance with financial policies and regulatory requirements.
Foster positive relationships with Members, sponsors, volunteers, and external stakeholders.
Serve as the primary point of contact for inquiries and communication regarding the Association.
Develop and distribute communications such as newsletters, press releases, and website updates.
Identify and pursue fundraising opportunities, sponsorships, and grant applications to support the Association's initiatives.
Oversee maintenance and repair for all OMCHA facilities.
