About Our Opportunity
The Facilities Project Coordinator works as part of a high-performing team that is responsible for the coordination/administration and delivery of Service Nova Scotia facilities strategy. This is done through managing projects; supervising new office space fit outs & existing office space renovations; coordinating system furniture installations and re-configurations. This is all done while ensuring that employees have a safe and healthy place to work.
This position reports directly to the Manager, Facilities and Corporate Services.
Primary Accountabilities
The Facilities Project Coordinator oversees office moves and the acquisition and disposal of surplus assets in approximately 33 locations across the province. The Facilities Project Coordinator monitors lease expiry dates for current leased facilities, consults with operational management to recommend whether leases should be renewed, extended, or re-tendered. They prepare space programs for internal and central agency approval, and conduct threat risk assessments. They monitor budgets, critical timelines, and physical project progress. The Coordinator needs to read/interpret written materials and floorplans and interpret data requiring a high degree of concentration and accuracy and manage multiple tasks simultaneously. They must prepare reports on the progress and/or completion of specific projects and responsibilities.
The Coordinator provides subject matter expertise and guidance to employees while interpreting and applying laws, legislation, regulations, and policies applicable to facilities issues such as the building code and regulations, and the national fire code. They provide input and assistance to the Occupational Health and Safety Coordinator when improving worksites or addressing issues. They also develop and maintain an electronic library of facility plans, are responsible for asset inventory, and for assisting with special projects.
Qualifications and Experience
To be considered for this opportunity, you hold a bachelor's degree + 1-year related experience; or an equivalent combination of training and experience may be acceptable.
As the successful candidate, you must be familiar with the process for the procurement of leased space and goods. You must have knowledge of systems, furniture, building services, and construction. As the successful candidate, you must have a working knowledge of architectural drawings, space programs, and the ability to provide informed advice as space plans are being developed and reviewed.
As the successful incumbent, you must have solid customer service skills with the ability to deal tactfully with staff and executives as well as private sector contacts. As the successful candidate, you must have the ability to determine client needs and ensure that those needs are incorporated into the requirements for proposal documents. You must demonstrate effective interpersonal communications (both oral and written) and possess strong organizational skills. This role requires the incumbent to be a team player working to enable their peers, as well as an independent worker able to exercise sound judgement and exhibit initiative. Much of the work is project based so they must be able to manage within fixed timelines, balance competing priorities and work within the budget. You must also be proficient in the standard computer applications such as Microsoft Office Suite.
